Preplans can be reviewed for quality, show lists of preplans

Introduction

To help your organization prepare and maintain high-quality preplans, Blazemark supports a "Publishing Workflow."

Preplans start in DRAFT mode. Once you have completed at least the first pass on your preplan, you can change the status to REVIEW. to alert your colleagues that the preplan can be reviewed for accuracy and completeness.

When in EDIT MODE, you can see the status choice at the bottom of the preplan (scroll down).

Once your preplan passes the review state, you can move it to the PUBLISHED state.

You must be in EDIT MODE to make changes to the status. You will find the Status dropdown field by scrolling to the bottom of the preplan.

Recommended Review Process

Preplans should be reviewed initially, before being "published." A second set of eyes goes a long way to ensuring higher quality preplans (and less typos!).

NFPA, ISO, and many corporate guidelines suggest annual review thereafter, which Blazemark will assist in enforcing!

Configure Frequency of Periodic Review

Org Admins can adjust their default review frequency via "Manage Organization":

Authors will see a notice that they have preplans that they created that are in a DRAFT or REVIEW status (or even Periodic Review):

Org Admins will also be able to access a list of all preplans across the org that are in various non-published states:

And you will be taken to a list of un-published preplans or preplans needing a periodic review:

Managing Workflow Status

When a new structure preplan is created, it will start out in DRAFT mode. The view will have the following banner as a reminder:

Once you have completed the initial entry, you can advance the status to REVIEW and have someone else take a look.ย 

The REVIEW banner will then be shown:

Once the review process is complete, the reviewer can advance the status to PUBLISHED. (This provides an optional audit trail that shows multiple people were involved with ensuring the quality of the preplan.)

After you SAVE the preplan with the status change, the "Next Review Date" will be calculated. You can easily edit the date if you need to change when the next review should be. (It uses the settings in your organization's profile.)

As the PERIODIC REVIEW approaches, you will see a new banner at the top of the preplan:

Simply check over the preplan, and reset the status to PUBLISHED when done.
