Import multiple users at once

Using the bulk import tool and how to create import templates/send invites

The Bulk Import tool makes it easy to add up to 5,000 users to your organization at once. This guide walks you through each step of the process:


📋 Managing imports

All user imports are managed from the Imports page in the Blink Admin Panel.

To access it:

  1. Open Blink Admin

  2. Click Users in the left-hand menu

  3. Select Bulk Update at the top of the Users table

✏️ Setting up your import template

  1. From the Bulk Update page, click New update.

  2. Select Import new users.

  3. Choose the groups you'd like to assign users to.

    1. Please note, that you will only be able to select groups which you have the permissions to edit.

  4. Click Next to download your import template. Each team will appear as a separate column in the file.


💻 Preparing your template

Open your downloaded CSV in a spreadsheet editor. For each user, fill in the relevant fields.

Required fields

To import a user, you must provide either:

  • An Email Address or Phone Number,
    AND

  • A First Name or Last Name

💡 The more complete the data, the smoother the registration process for your users.

Group Assignment

If you added groups during setup, they appear as columns in the template. Add an “X” to assign a user to that group.

Phone Number

Optional if Email Address is provided. Use international format (e.g., +1XXXXXXXXXX).

First Name

Last Name

Yes/Optional

Optional if Email or Phone is provided.

Job Title

Optional

User’s role or title in the company.

First Day

Optional

Must be in YYYY-MM-DD format (text field).

Last Day

Optional

Same format as First Day.

Department

Optional

Department name.

Employee ID

Optional

Unique ID for internal tracking.

Company Name

Optional

Especially helpful if you manage multiple orgs.

Group

Optional

Add an "X" in the relevant group column to assign. Users default to the Default Group otherwise.

⚠️ Important formatting notes

📧 Email address

  • Must be unique

  • External domains are allowed; Blink links them to your org automatically

📱 Phone number

  • Must be a mobile number

  • Use international format: e.g., +44XXXXXXXXXX

  • No spaces, dashes, or parentheses


⬆️ Uploading your file and importing users

  1. Go back to the Imports page.

  2. Click Next.

  3. Enter a clear Import Name (e.g., 2025-06-12_New Hires Sales).

  4. Upload your completed file.

  5. Click Upload.

⏱️ Imports may take a few minutes, depending on the number of users. You’ll see a confirmation message and a Success status once complete.


✅ After the import

If there are no errors, you'll receive a confirmation email that your users were successfully imported.

You now have two options:

📩 Sending invitations

To invite users:

  1. Return to the Imports page.

  2. Locate your import entry.

  3. Click Send Invitations.

💡 Tip: You can invite users by individual groups during bulk import.

🔰 Downloading personalized Starter Packs:

Personalized Starter Packs include instructions and login info for each user.

To download:

  1. Go to the Imports page

  2. Click the ⋮ (three dots) next to your import

  3. Select Download Starter Packs

You can also download Starter Packs from individual user profiles.


❌ Fixing import errors

If your import fails:

  1. Go to the Imports page

  2. Click the failed import to view the list of errors

  3. Open your CSV and correct the errors (they are listed by row)

  4. Re-upload the corrected file

  5. Click Next to reattempt the import

You’ll receive an email confirming whether the re-upload was successful.
