How to open, complete, and submit a performance review

Performance reviews are the next step of QC after flags!

Performance Review Page

To navigate to performance reviews in Blocks, go to the menu and select 'Performance Reviews' under 'Quality Control.'

Here you will see all performance reviews that are either 'Open,' waiting to be filled out and completed, or 'Ready for Review,' waiting to be reviewed by a program manager or supervisor.

You can filter the table by who a review is assigned to, the canvasser under review, the turf, or the status of the review.

The table shows the canvasser name, the status of the review and who it is either assigned to or who it was requested by. On the right, you'll see a 'View' button to access the performance review.

In the 'Completed' tab, you'll see completed performance reviews with the same filter and view options.

Opening a performance Review

You can open a performance review in two ways in Blocks. Quality Control staff can open a performance review directly from a flag that is 'Awaiting Resolution.' Go to 'Table Manager,' open the 'Flags View,' go to the 'Awaiting Resolution' tab and open a flag.

Within the flag, you'll see a button to open a performance review beneath the canvass name and turf.

You can also open a performance review directly in the performance review page!

To open a new performance review click 'Open' in the top right of the page.

In the New Performance Reviews page, your name will auto-populate as the person requesting the review.

You will then select the 'Canvasser under review.' In 'Assigned for review,' you will select the program manager or supervisor that will do final review and approval of the performance review.

You will then select whether the canvasser will be pulled from the field or not. If the canvasser is pulled from the field, you will still be able to add them to a shift if you need to, but you will see red text in the canvasser dropdown that will notify you the canvasser has been pulled from the field.

You will also see a red bar in the canvasser profile that the canvasser has been pulled from the field. That bar links you to the performance review page.

Based on your canvasser under review selection, flags will populate for you to select in 'Associated Flags.' In the next step you will also have the opportunity to add more flags and packets.

Lastly, you will select the reason for review, and type out any additional relevant details. Click 'Open Review' to open your performance review.

Filling out a performance review

At the top of an open performance review page, you will see some of the details added when the performance review was opened, along with some additional canvasser information.

Scroll down and you'll see the 'Investigation' section where you can click view next to the flags in the 'Flags' tab and the packets in the 'Packets' tab to view the flags and packets already added to this performance review in a new browser tab.

To add more flags, click 'Add more flags' in the 'Flags' tab and a module will pop up.

You can filter this by date range, flag ID, or flag type. Flag types will show here if flags for the canvasser exist in that type. This canvasser, for example, only has flags of 'Applicant does not remember registering.' Click submit to add flags to the performance review.

To add more packets, click 'Add more packets' in the 'Packets' tab and a module will pop up.

Here you can search by packet filename, and narrow down by date range. Click 'View' to inspect a packet and make sure it's the one you're looking for and click 'Select' to select a packet. Click 'Submit' to add packets to the performance review.

Scroll down the performance review page to the 'Timeline' section to log events that occur as part of this performance review. We recommend you add at least one event here.

Click 'Log event' to log an event. Enter in the date, describe the action taken, and log findings, or results, of this action.

Next, you'll see 'Verification Stats' and 'Phone Results.' In 'Verification Stats' set a date range the the valid address %, duplicate % and manual wrong numbers per verified number from phone verification and reporting will populate for the canvasser.

In phone results, you will want to document the calls made if a performance review necessitates recalling through forms collected by the canvasser.

The last step to completing a performance review is logging the determined outcome and adding any additional notes and context on what occurred during this performance review and why the determined outcome was selected.

Click 'Save and Exit' to save your progress if you still have further actions to take to complete your performance review. Click 'Submit for Review' to submit the performance review for final review by a program manager or supervisor.

Reviewing and Completing a Performance Review

The page when reviewing and completing a performance review has all of the same details and sections as the page when filling out a performance review, only they are not editable and are just displayed for review. These sections include:

  • Review and canvasser details

  • 'Investigation' where flags and packets are shown with links to access them

  • 'Timeline' of actions taken as part of the performance review

  • 'Verification Stats' showing duplicate and verification data for the canvasser - this date range can still be edited during this step for purposes of review

  • 'Phone results' showing the results of any recalls through forms collected by the canvasser

  • 'Review' which displays the determined outcome of the performance review and the notes section with context about actions taken during the performance review process.

If you aren't ready to complete and close out this performance review, you can click 'Save and exit.'

If the performance review is complete and the determined action makes sense for the results of the performance review, click 'Complete Review' to complete and close out the performance review. The performance review will then show in the 'Completed' tab of the performance review page.

If this performance review needs additional details or actions, or even just some changes, click 'Request Changes.' An additional 'Send back to investigation' section will show.

In the 'Changes requested' field enter in any changes, additional actions, or documentation you are requesting in order to be able to complete this performance review. Click 'Submit' to move the performance review back to 'Open.'

It will appear in the 'Active' tab in the performance review page. When it is opened, the changes requested will appear at the top.
