Search before adding any shifts to Blocks!
Always search before adding anything to Blocks so that you do not create something that is already in Blocks. In the shifts page you can search by packet filename, or you can add a filter rule to look for shifts with a particular canvasser, on a particular date, or at a particular location.
If you attempt to add a shift that already exists, you will run into an error message!
Packets Need to Contain a Cover Sheet!
Blocks assumes that the first page in any packet uploaded is a cover sheet. If you do not upload a cover sheet with your packet, the first form will skip QC and not be counted as a form. Packets uploaded should be redacted and contain a cover sheet as page 1, followed by forms collected by the canvasser at one location on one day, during one shift.
Packets MUST be Redacted Before Upload to Blocks!
Per legal requirements, packets of registration forms must be redacted of sensitive information (specific fields varying between state of collection) before upload into Blocks. If unredacted, packets must be deleted, redacted, and reuploaded.
Max PDF Size?
20 MB is the max PDF size for a shift to upload to Blocks. This size does not necessarily correlate to page count. There are packets in Blocks with over 100 forms in them. If once in a while a larger packet is too large to upload we recommend reducing the file size in Adobe. If all of your packets are too large to upload, we recommend checking your scanner settings, or scanner app settings, and try scanning at a lower resolution.
What Should I Name Packets?
We strongly recommend using a consistent naming convention for your files. The names are searchable, so adding shift details in the naming convention can also be very helpful.
An example:
Organization_Office_Canvasser_Date.pdf
Politech_Philadelphia_AHarris_072525.pdf
It's important to note that those filenames do NOT contain spaces. They also do NOT contain any punctuation except for underscores and the period before the pdf. If you attempt to include other punctuation or spaces in your filenames, you will run into an error message.
What If My Canvasser Goes Out and Doesn't Collect Any Forms?
If your canvasser has a shift, but does not collect any forms, you still want to track those shift hours in Blocks to have accurate collection rates. Ask your canvasser to still fill out a cover sheet after their shift. In Blocks, create a shift, enter in 0s for the form counts, and upload the single cover sheet.
After upload the shift will automatically advance to 'QC Status: Completed' and 'Delivery Status: Delivered.'
