Templates allow you to streamline your journal entry process by defining how you and your team want to view financial data. By creating templates, you can quickly generate journal entries in a structured and repeatable way, ensuring consistency and efficiency. This not only saves time but also enhances accuracy, allowing you to focus on financial insights rather than manual data entry.

How to Create a Template

Follow these simple steps to create and customize your own journal entry templates:

1. Navigate to the Templates Page

Go to the Journal Entries menu and select Templates. Click Create Template to begin setting up your customized journal entry format.

A form will open allowing you to create your custom template.

2. Name Your Template

Assign a meaningful name to your template that aligns with your reporting needs. Examples include:

  • Orders by Channel

  • Social Media Orders

  • Gift Card Transactions

3. Select the Journal Entry Type

Choose from a variety of journal entry types, including:

  • Orders

  • Revenue

  • Cash Receipts

  • Gift Cards

  • Loop Exchanges

  • And more

4. Choose Your Currency Preference

Decide whether the journal entry data should be displayed in:

  • Financial Statement Currency (standard reporting currency)

  • Local Currency (currency of the order’s origin)

5. Customize Grouping Options

Define how your journal entry data should be grouped for better organization and analysis. Available options include:

  • Order System

  • Order System Account (store)

  • Channel

  • Location

  • SKU or Product Type (for certain journal entries)

6. Apply Filters for Precision

Refine your journal entry data with filters such as:

  • Location

  • Channels

  • Order System

  • Order Tags

  • Discounts

  • Country or State

These filters allow you to create tailored templates that match your business needs and reporting requirements.

Note: Using filters will exclude data and it's important to ensure you have templates to account for all your financial data.

7. Save & Use Your Template

Once you've configured your template, click Create Template. Your new template will now appear on the Templates page, ready for you to use in mapping accounts and generating journal entries effortlessly.

By leveraging templates, you can make journal entry creation faster, more efficient, and customized to your unique financial reporting needs.
