Setting Up Compliance Roles in BoardX

Written by Harper Tang

What are Compliance Roles?

Compliance Roles are specialised entity types within BoardX designed to link Compliance Objectives to a role rather than an individual. This linkage ensures that all control tasks associated with the role automatically transition to the new owner during personnel changes, maintaining continuity and compliance integrity.

Important Notes: In BoardX, all Compliance Objectives within any Content Pack are pre-linked to a central Compliance Role named "Compliance Officer." Assigning an individual to this role automatically maps all associated Compliance Objectives to them, centralizing compliance management.

How to assign an individual to an Authority Framework Role:

  1. Go to the 'Settings' on the left-hand navigation bar.

  2. Under 'General'.

  3. Click on 'Risk and Compliance Role'. Here, you will see a list of existing roles.

  4. Manage Roles:

    • To add the user assigned to a role, click on the dropdown next to an existing role and select the desired username.

    • Click on the three grey dots on the right of the role's line.to edit or delete the role.

  5. Adding a Role:

    • Click on +New on the top right of your screen.

    • Input your new role title.

    • Select the role Type - Authority Framework Role

Handling Controls After Role Setup:

  • Post-Role Assignment Control Generation:

    • When a person is assigned a role, controls linked to the compliance objectives associated with that role will be generated. These controls will initially be in 'Draft' status because the Control Launch date has not yet been defined.

    • If it is a user-created role, you can bulk link Compliance Objetives to this new Authority Framework Role.

This setup ensures that Authority Framework Roles are properly configured in BoardX. It facilitates effective compliance management and smoother transitions in role ownership, which is vital for maintaining operational continuity.
