Managing Citation Applicability in BoardX

Written by Harper Tang

In BoardX, you have the flexibility to customise which regulatory citations apply to your organisation. This feature is particularly useful when certain citations within a regulation do not relate to your specific operational scope or business model. Below, you will find step-by-step instructions on how to activate or deactivate citations, as well as how to record and view the rationales for these changes.

Turning Citations On or Off

  1. Navigate to the Relevant Authority Framework:

    • Access the Advanced Compliance Dashboard

    • Select the Authority Framework associated with the regulation containing the citation you wish to manage.

  1. Locate the Citation:

    • Within the framework, click on the Citations tab.

    • Expand the principles and sections to see the citations.

  2. Adjust Citation Settings:

    • Next to each citation, you will find an on/off toggle switch. Use this switch to activate (turn on) or deactivate (turn off) the citation according to your needs.

  3. Provide a Rationale:

    • When the citation is toggled, a prompt will appear requesting a rationale for the change. It is important to provide a clear and concise explanation for why the citation is being turned off or on, as this helps maintain an audit trail and supports compliance management.

    • Click 'Save' to preserve your rationale, or click the cross if no rationale is needed.

Viewing Citation Change History

  1. Access History via the Clock Icon:

    • Next to the toggle switch for each citation, a clock icon is visible. Clicking on this icon will open a history panel.

  2. Review Change Log:

    • The history panel displays a log of all changes made to the citation’s status, including who made the change and their provided rationale. This feature is essential for auditing and ensures transparency within your compliance processes.

Conclusion

Managing the applicability of citations in BoardX is a straightforward process designed to align your compliance activities with your organisation's specific requirements. By enabling or disabling citations as needed and documenting the rationale for these changes, you can ensure that your compliance framework remains both relevant and robust. This flexibility and the ability to review historical changes enhance your organisation’s ability to adapt to changing regulatory environments efficiently and effectively.
