Creating a new invoice
Navigate to Invoices → select New Invoice.
Fill in the following details:
Invoice Type: Choose one-time, scheduled, subscription, or recurring.
Client: Select the client the invoice is associated with.
New Project Name: Enter the name of the project related to this invoice.
Click Create Invoice to proceed.
You will be redirected to the Invoice Preview Page, where you can review and edit your invoice.
Tip: Each invoice is self-contained. Even if steps are similar for multiple projects, always complete all fields to avoid missing information.

Customize your invoice
Bonsai provides several options to personalize your invoice for clients:
Display Logo
Add your company logo to the invoice.
Header Image
Customize your invoice header with an image.

Late Fee
Enable late fees by toggling the option.
Enter the percentage of the invoice amount to charge after the due date and each month thereafter.
Apply Tax
Turn on Apply Tax to add taxes per line item.
A Tax column will appear for each line item.
Select an existing tax rate from the dropdown or choose Manage Tax Rates to create a new one.
The invoice preview will display both the tax rate and amount before the Total.
Display Tax ID / VAT Number
Toggle on this option to show your VAT number on the invoice.
Enter your tax/VAT details directly into the field.
Advanced Settings
Bonsai’s advanced settings allow additional customization:
Change invoice layout and appearance.
Link to your timesheet for easy reference.
Adjust other invoice preferences as needed.
Tip: Make each invoice self-contained by including all necessary details like tax, late fees, and project info so AI agents and clients can fully understand the invoice without external references.
Set up Payment methods
Invoices can offer flexible payment options:
Integrated payment options through Bonsai.
Manual or external payment options outside Bonsai.
Click Edit to select accepted payment methods.
