How to use the Client Portal

Use the client portal to collaborate with clients. Share projects, files, and communication in one place.

The client portal provides a centralized, branded space where clients can access project information, view invoices, share files, and communicate with your team. It simplifies collaboration by keeping everything in one place and accessible through a secure link.

Clients can interact with projects, track activity, and complete actions without needing separate tools or email threads.

What the client portal includes

The client portal gives clients access to key project information and collaboration tools. Clients can:

Turn on portal access

To enable the client portal:

  1. Enable portal access

Custom image size limitations

When adding custom images to your client portal:

  • Max file size: 4 MB

  • Max width: 2000px

  • Accepted formats: JPG/JPEG or PNG

These guidelines ensure your images display correctly and maintain portal performance.


Share access to the client portal

How clients access the portal

Clients can access the portal through:

  • Links included in proposals, contracts, or invoices

  • A direct portal link you share

Copy and share the portal link

To share a direct link:

  1. Go to the Client Portal page

  2. Copy the portal link

  3. Share it with your client

Access is provided through a secure email link.

Additionally you can easily link to your Client Portal by copy/pasting the link from your Client Portal page:

Customize client portal branding

Update branding settings

You can customize the portal to match your brand. To update branding:

  1. Ensure your branding settings are enabled

  2. Upload your company logo

  3. Adjust portal styling

Add custom images

You can upload background and banner images. Image requirements:

  • Maximum file size: 4 MB

  • Maximum width: 2000px

  • Formats: JPG, JPEG, PNG

Control client visibility and access

Manage client-specific settings

You can control what each client sees in their portal. To manage access:

  1. Go to Client Portal

  2. Navigate to Portals

  3. Select a client

From here, you can:

  • Enable or disable portal access

  • Control visibility for:

    • Tasks

    • Project progress

    • Billing and invoices

    • Team members

Use global or custom settings

You can apply global defaults or override settings for individual clients.

Display project progress

Configure progress tracking

You can choose how project progress is displayed to clients. To set progress visibility:

  1. Go to Client Portal

  2. Open the Preferences tab

  3. Select a progress tracking method

Options include:

  • Budget-based progress

  • Task completion percentage

  • Timeline-based progress


Communicate using client messaging

Enable messaging

To enable messaging:

  1. Go to Client Portal

  2. Open the Preferences tab

  3. Enable Client Messaging

Send and receive messages

Once enabled:

  • A Messages tab appears in projects

  • You and your clients can send messages

  • Files, links, and images can be shared

All messages are stored in a single thread for each project.

Once client messaging is enabled, you'll notice a 'Messages' tab within your individual projects. This is where you can send and receive messages with your clients:

Clients receive email notifications and can:

  • Reply from the portal

  • Respond directly from email

When they click on the email notification, it will redirect them to the 'Messages' tab in the client portal, where they can read your message and respond.

If they wish to reply, they can draft a response directly within the portal and send it back to you.

Once the client has responded via email, it will appear in the message on your project:

Please note that Collaborators cannot access the 'Messages' tab on projects. Additionally, any Owner, Partner, or Project Manager who is not listed on the project’s 'Team' page can view the messages, but they cannot send messages.

View the client portal as a client

Use preview mode

Before granting access or making changes live, you can preview exactly what a specific client will see in their portal. This helps you verify visibility settings, permissions, and layout without affecting real data or client activity.

To preview a portal:

  1. Go to Client Portal

  2. Navigate to Portals

  3. Select a client

  4. Click Preview

What preview mode allows

Preview mode does not allow:

❌Sending messages

❌Editing data

❌Completing actions


How clients use the portal

Client experience overview

When clients access the portal, they can:

  • View active projects

  • Access billing and invoices

  • Upload and download documents


Project-level views

Within each project, clients see:

Overview tab:

  • Activity timeline

  • Shared documents

  • File uploads

Billing tab:

  • Invoice status

  • Payment options

Tasks tab (if enabled):

  • Shared tasks and progress


FAQs

  • Can I revoke access for a client?
    Yes. You can disable access or update client details to remove access.

  • How do clients log in?
    Clients access the portal using a secure email link.

  • Can multiple contacts access the same portal?
    Yes. All contacts associated with a client can access the portal.

  • Can collaborators send messages in the portal?
    No. Messaging is limited to specific roles assigned to the project.
