People: Communication, Details, Notes

Learn how to use your contact's communication tab in Bonzo with Texts, Calls, Voicemails, and Notes all in one place.

Communication

In Bonzo, accessing your conversations with various contacts is seamless thanks to the Communication view, which consolidates all standard communication channels like text, email, and voicemails into one window. Whether you're on your dashboard, in the Conversations tab, or within a contact's record in the People tab, the appearance and functionality remain consistent, ensuring a smooth experience.

*The People Tab can now be found under the "Data" dropdown in your sidebar navigation.

  1. To enter Communication view, from your People tab, simply click on a contact record.

    Here, you'll find a comprehensive overview of your communication history with this contact, including their responses and any actions you've taken, such as moving them to a campaign or specific pipeline stage.

  2. You can easily reach out to the contact through SMS or email directly from this interface (bottom left). Additionally, you have the option to call them or leave a voicemail using the same screen (top right).

    When sending a text or email from the Communication tab, you can simply type in your message in the empty box at the bottom of the screen. If you click the icons beneath your message, you can access videos, gifs, or emojis for your text. You can also pull design assets in from Bonzo Brand Lab, add attachments, and select messages from your quick replies templates. For emails, you will have an option to attach your custom signature.

    You can schedule your SMS or email to be sent at a specific date and time by clicking the down arrow next to the pink send button. Additionally, you can choose whether the message will be sent as "Me" (from your current logged-in account) or "Owner" (from the person assigned to the prospect).

    When you start a call from the Communication tab by clicking on the call icon (top right), you'll be presented with options to create a pre-recorded voicemail and a text message to leave if your contact doesn't answer. Clicking "continue" will then initiate the call.

    After the call ends, you'll be prompted to choose a disposition for the call. At the bottom of the screen, you'll see options where you can select to send your pre-recorded voicemail or pre-written text message.

  3. Utilize the "Note" feature to add any relevant information to the record and leverage the "Summarize" function (a tokens-based feature) to generate a bulleted summary of the conversation thus far.

    Also in this section, you can mention one of your team members by using the @ symbol and typing your teammates name. This will give your teammate shared access to the contact and send them a notification to view this note.

  4. On the right-hand side of the screen, you'll see a high-level overview labelled “Prospect Data.”

    Here, you can edit and update their information, assign them to an active campaign or pipeline stage, add tags, share them with team members, or designate loan contacts like co-borrowers, buying agents, or listing agents.

    It's worth noting that for these assignments to be made, the contact must already exist in your database. Additionally, buying agents, must be marked as "realtors," which can be achieved by navigating to your people tab, selecting the realtor contact record, clicking on the "+" symbol on the quick action toolbar, and selecting the option “Mark as realtor.” For listing agents, ensure that the 'Listing agent as realtor role' toggle is enabled in the Company tab.


Details & Prospect Data

In the People tab, a contact's Details View encompasses all the vital information within their record, including both "Base Details" like name, email, and phone number, and more specific “Mortgage” information, whether related to a purchase or refinance. Having comprehensive data within your contacts records will allow you to quickly search, label, and take action within your People tab.

  1. To access the Details View, simply select an individual contact record and click on the "Details" tab at the top. Here, you'll encounter standard tabs like "Details" for personal information and "Mortgage" for financial details.

  2. Within the "Details" tab, you can also add personal details for a Coborrower if applicable.

  3. Meanwhile, in the "Mortgage" tab, you can input specific loan information (scroll down the page to see all fields), and you can connect a buying or listing agent to the contact's record.

    It's important to note that for these assignments to be made, the contact must already exist in your database and must be marked as "realtors," a designation achieved by selecting the agent record in your People tab and clicking on the "+" symbol on the quick action toolbar, then selecting the option "Mark as realtor." For listing agents, ensure that the 'Listing agent as realtor role' toggle is enabled in the Company tab.

    As a Team Lead or SuperUser, you have the capability to enhance Bonzo's functionality by adding additional tabs and creating custom fields to house extra data for your team's contacts. Please see our "People 101" article (linked at the bottom) or search "People: Tagging, Filtering, Creating Custom Fields," for information on how to create your own custom fields.

  4. Access this prospect's data at any point when navigating through this contact record by scrolling to right hand side underneath their name.

    Here you will see their information in a vertical scrolling tab, providing you with information, but also allowing you to take quick actions like assigning them to campaign or pipeline, tagging them, adding them to a group, or including a new attachment to their profile for review by you or your teammates.

  5. You can also assign loan contacts by adding a coborrower, buying agent, listing agent, or an external contact like a processor.

    For any assignment other than "external contact," the individuals must already be listed in your Bonzo People database. Additionally, as noted above, buying agents and listing agents need to be designated as realtors in the database to appear in this assignment list.


Notes

In Bonzo, notes are essential for efficiently managing your contacts, offering you and your team insight into the activities and interactions involving a particular contact or group of contacts.

  1. From your People tab, click on a contact record to be taken to the Communication view. You’ll notice an additional tab in the top left labeled “Notes.”

  2. Here, you can add a note by simply clicking "Add Note" and typing in your message, along with the option to add attachments if needed. Additionally, you can add the note to the Communication view by checking the box to add the note to the conversation. This doesn’t send the note to the contact, but merely includes in the overall view present within the Communication view.

    Each note is timestamped, showing who added it, and can be edited, deleted, or pinned for easy access. Pinned notes appear prominently at the top for quick reference.

  3. You can create note templates to streamline your note-taking process. By selecting "Templates" and adding a new template, you can standardize note formats for common scenarios, like sales calls or client meetings. This ensures consistency and saves time when recording information.

  4. Back in the Communication view, you can add notes directly into the conversation by clicking on “Note” next to the SMS and Email options.

  5. By tagging specific team members in a note, you can ensure that they are informed and involved in relevant conversations. It’s important to know that tagging a team member on a note gives them access to all of the contact’s details but does not give them access to communicate directly to the contact.

    Additionally, If there is a buying agent and/or a listing agent attached to this contact, You can choose to send this note via email to the assigned agent(s).

  6. Lastly, notes can be added to entire groups of contacts. By returning to the People tab and selecting multiple contacts, you can add a note to the entire group, saving you from duplicating efforts when communicating with multiple contacts simultaneously.

In Bonzo, managing your people and communications is efficient and easy. The Communication view consolidates all conversations—texts, emails, voicemails—into one consistent interface accessible from various tabs, ensuring smooth interactions. The People tab's Details view organizes essential contact information, from basic details to specific mortgage-related data, allowing for quick navigation and action. Additionally, the Notes view enhances contact management by providing crucial insights into interactions, helping you and your team stay informed and responsive.
