As an artist working through Book An Artist, understanding how to create, edit, and manage offers and invoices effectively is key to maintaining smooth client relationships and securing timely payments. Here’s a helpful guide to walk you through:
1. Creating Multiple Offers or Invoices for the Same Job
Sometimes, a client might ask for extra services or the project might be done in stages. In those cases, you may need to send more than one offer or invoice. Here's how to do it:
Steps to Create Multiple Offers:
Open your Artist Panel.
Click on ‘Orders & Enquiries’.
Select the conversation where you want to make an offer (quote/invoice).
On Web: Click ‘Make an Offer’ on the right-hand side of your screen.
On the App: Tap the ‘Offer’ tab, then tap ‘Make an Offer’.
Fill out the offer form – make sure all the pricing and details are correct.
If needed, click the ‘+’ button to add an extra payment box (for deposits, additional services, etc.).
Once you’ve completed the offer:
Need to make another offer for the same job? Just click ‘Make Another Offer’ on the web, and for APP click on + icon in offer tab and repeat the steps.
💡 Once you create multiple offers, they’ll be shown in a drop-down menu so you and the client can easily see each one.
2. How to Edit the 'To' Section on an Invoice
If you made a mistake in the client’s name or company details, don’t worry — it’s easy to fix.
Steps to Edit the ‘To’ Section:
Open the conversation with the invoice you want to update.
On the Web:
On the right-hand side of the order ID, click the three dots (⋮).
A drop-down menu will appear – select “Edit Offer.”
On App:
Change the name in the ‘To’ section to the correct one.
Click ‘Save and Submit’ — the client will get a notification, and the invoice will be updated.
✅ This helps keep your invoices professional and accurate.
3. New Payment Structure: What’s Changing?
Book An Artist has made some updates to help artists earn more, especially on big projects.
New Deposit Structure
These changes will go live from 16th September, 2024 for all new Offers(i.e Invoices/Quotes), any offers before 16th September, 2024 will not be affected.
New Artist - First 2 Projects
If you are a new artist on the platform who has yet to complete a project on Book An Artist, the full payment will be held and will be released upon project completion for first 2 projects.
Existing Artist
For all project categories, the following table outlines how the deposit is split between BAA Payout and the Artist Payout. Depending on the deposit % requested by the artist, the deposit payment is paid out to the Artist and Book An Artist as per the below table.
This only applies if the Customer chooses to release the deposit. They can also hold these funds on their end.
Note: In all these cases, BAA commission remains 20%, there is no change to that. The table only shows how the payout will change.
