How to create and send an invoice on the mobile app
Creating invoices in the Bookipi mobile app is quick and flexible, with two available options to suit your workflow. Users can choose between the Old version, which follows the familiar step-by-step process, or the New version, designed to be more streamlined. This article will walk you through both methods so you can decide which flow works best for your business needs.
Option 1: Using the Old Version
Step 1: Start creating an Invoice.
On the Invoice screen, tap the blue plus (+) button to create a new invoice.
Step 2: Add a Customer.
Tap to 'Add customer' to add your customer name.
You have the options to 'Create new customer', 'Import from your contacts', or choose from your customer list.
Step 3: Add items to the Invoice.
Tap 'Add item' to add products or services to your invoice.
You can either 'Create new item' or select from your item list.
For each item, specify the Quantity, Discount (optional), Photo (optional), and enable Tax if applicable.
Tap 'Save' at the bottom of the screen to add the item to your invoice.
Step 4: Optional Settings.
Add tax and discount to the overall invoice by tapping the gear icon.
Enable the signature feature to display your signature on the invoice and allow your client to sign the invoice.
You can attach a photo to the invoice for reference if needed.
Step 5: Save the Invoice.
Once all details are added, tap 'Save' in the upper-right corner to finalize and save your invoice.
Step 6: Preview the Invoice.
A preview of the invoice will appear, allowing you to review the details.
Step 7: Send the Invoice.
Tap 'View send options' to choose how to send the invoice.
You can send your invoice directly through the app by tapping 'Send'. Alternatively, choose from options like WhatsApp, SMS, Email, PDF, or Share via your preferred method.
You have now sent an invoice.
A Sent status will be displayed under the invoice number, indicating that the document was delivered successfully.
Option 2: Using the New Version
Step 1: Start a New Invoice
On the Invoice screen, tap the blue plus (+) button to begin creating an invoice.
Step 2: Select a Customer
Choose a customer from the list, or tap 'Create' if the customer is not yet saved.
Step 3: Add an Item
Select an item from your list, or tap 'Create' to add a new item if it doesn’t exist.
Step 4: Edit Item Details
Tap the pen icon beside the item to:
Adjust the item price
Change the quantity
Enable tax (if applicable)
Make sure to tap 'Save' to apply and save any changes you’ve made.
Step 5: Confirm the Item
Tap 'Done' to add the finalized item to the invoice.
Step 6: Adjust Invoice Totals (Optional)
In the Items section, you can:
Add a discount
Add shipping fees
Enable or disable Tax
Step 7: Enable Payment Option
In the Payment section, enable card payment so customers can pay directly from the invoice.
Or tap 'Payment instruction' to add your preferred payment method (e.g., bank transfer).
Step 8: Set Invoice Recurrence or enable Signature (Optional)
Under More settings, set the invoice to recur based on your preferred schedule.
You can also turn on signature to display your signature and request your customer to sign the invoice.
Alternatively, you can attach a photo to the invoice for reference if needed.
Step 9: Save the Invoice
Once all details are complete, tap 'Save' to store the invoice.
Step 10: Proceed to Sending
Tap 'Next' to move to the sending options.
Step 11: Choose a Sending Method
You can tap 'Email' to send the invoice directly from the app. Alternatively, choose 'WhatsApp', 'PDF', 'SMS', or 'Share' to send it using your preferred method.
Step 12: Send the Invoice
Tap 'Send' to finalize and send the invoice to your customer.
Your invoice has now been successfully sent and can be viewed in your invoice list.
Here's a quick reminder: you can easily track the status of your invoices. Once sent, the status will update to Sent, and when your customer opens the invoice, it will change to Read.
