How to create and send an invoice on the mobile app

Get started with invoicing on the Bookipi mobile app by learning how to create, customize, and send invoices in just a few simple steps.

Step 1: Start a New Invoice

On the Invoice screen, tap the blue + button in the lower-right corner to create a new invoice.

Step 2: Select a Customer

Choose a customer from the list.

If the customer isn't saved yet, tap the + button to add a new customer or import one from your contacts.

Step 3: Add an Item

Select an item from your list.

If the item doesn't exist yet, tap the + button to add a new one.

Step 4: (Optional) Add Additional Invoice Details

In the Items section, tap '+ Add item' below your last item to add more items. Swipe left to access additional options, including Discounts, Shipping, and Tax.

In the Others section, you can enable the option to request a customer signature. If you're a subscriber, you can also set up recurring invoices and change the invoice currency when using the Multi-Currency feature.

You can also add invoice notes, additional information, and photos if needed.

In the Payments section, you can choose from multiple payment options. You can accept card payments from customers, request a deposit, or add your payment details in the Payment Instructions section.

Step 5: Save the Invoice

Once all details are complete, tap 'Save' to store the invoice.

Step 6: (Optional) Customize the Invoice

If you have a subscription, you can customize your invoice by changing the colors, fonts, and font sizes to match your brand.

Step 7: Choose a Sending Method

Tap 'Send email' to send the invoice directly from the app.

You can also swipe to access other sharing options, including 'WhatsApp', 'PDF', 'SMS', and 'Share' so you can send the invoice using your preferred method. Additional options such as 'Print' and 'Tap to Pay' are also available, allowing customers to pay you in person using your mobile device.

Step 8: Send the Invoice

If you choose to email the invoice directly through the app, tap 'Send' to finalize and deliver it to your customer.

Q: Can I add multiple items to an invoice at once?

A: Yes. When adding items, you can select multiple items at the same time and add them to your invoice in one step.

Q: Why is the 'Save' button disabled when I'm editing an invoice?

A: The 'Save' button remains disabled until you make a change. Once you've updated any invoice or item details, the button will be enabled.

Q: Can I attach an image to my invoice?

A: Yes, you can attach a photo to the invoice, such as a product image or proof of work, by using the 'Add photo' feature in the optional settings. Please note that the recommended photo size is 350x350 pixels, and the file type should be JPEG.

Q: How will I know if the invoice has been sent or opened by the customer?

A: Once sent, the invoice status will show as Sent. When the customer opens it, the status will update to Read. If undelivered, the status will show as Undelivered.

Q: What should I do if my invoice status is “Undelivered”?

A: If your invoice shows as Undelivered, please contact our support team at support@bookipi.com for further assistance.
