How to edit a partially or fully paid invoice in the Bookipi Web App

In the Bookipi Web App, you can still edit invoices even after a payment has been recorded. Whether you're updating an item, adjusting the tax field, or modifying payment options, we’ll guide you through the steps to ensure everything remains accurate and professional.


Follow this guide to learn how to edit a paid or partially paid invoice without affecting your records.

Step 1: Log in to Bookipi Web App

Go to bookipi.com, click 'Log in' (top right), and enter your email and password to access your account.

Step 2: Navigate to the 'Invoice' section

On your dashboard, click 'Invoice' from the side menu.

Step 3. Locate your paid invoice

In the Invoice section, look for the paid invoice you’d like to update.

To filter, use the 'Paid' filter option. This will display all partially and fully paid invoices. Select the invoice you want to edit.

Step 4. Edit the invoice

Click 'Edit' at the top right of the invoice to make changes. This will open the invoice in edit mode, allowing you to update invoice details such as items, tax fields, payment options, and more.

Select the field(s) you’d like to update. For example, you can adjust an Item line or other editable details.

Some fields will be greyed out. These fields cannot be edited once an invoice is marked as partial or fully paid.

Step 5. Save your changes

After making updates, click 'Update' to save the invoice.

Step 6. Resend the invoice

To share the updated version, click 'Send'.

Your client will receive the new copy of the invoice with your changes.

A: To ensure the accuracy and integrity of payment records, certain fields, such as customer details or invoice number issued date, are locked once a payment has been recorded. This prevents accidental changes to critical financial information after the transaction has been finalized.

Q: Will editing a paid invoice affect my payment records?

A: No. Editing a paid or partially paid invoice does not remove or change the recorded payment. The payment status will remain as is unless you manually delete the payment entry.

Q: What if I need to change a locked field?

A: If a field appears locked or greyed out and cannot be edited, we recommend creating a new invoice. Alternatively, you can duplicate the existing invoice, which will allow you to make the necessary changes before sending or saving it.
