Overview
Bookipi AI Meeting Assistant is a virtual participant that joins Zoom meetings to capture transcripts and generate structured summaries and action items. The assistant only joins meetings when explicitly invited by the meeting host via the Bookipi Scheduler.
Note: This is an unlisted Zoom app that creates a bot to join meetings for transcription purposes only. Meeting data is handled securely and is not used for advertising, monitoring, or surveillance.
Prerequisites
Before adding the app, ensure you have:
An active Bookipi account.
A connected calendar within your Bookipi Scheduler settings.
A Zoom account (Admin or User with marketplace permissions).
Adding the AI Meeting Assistant
To enable the AI Meeting Assistant feature in your Bookipi account:
Log in to your Bookipi account.
Navigate to Scheduler
Enable AI Meeting Assistant by toggling the feature.
Configure your preferences such as which meetings the assistant should join automatically.
Prerequisites: You must connect your calendar to use the AI Meeting Assistant.
Usage
The AI Meeting Assistant automates your documentation so you can focus on the conversation.
Core Features:
Automatic Transcription: The bot joins your scheduled Zoom calls as a participant and records the audio to create a text transcript.
AI Summarization: Our AI processes the transcript to generate a summary, key highlights, and action items.
Dashboard Storage: All transcripts are stored securely in your "Past Meetings" folder.
Use-Case Descriptions:
Client Consultations: Focus on the client without worrying about taking notes. The assistant captures every detail and creates a summary you can share with the client immediately.
Internal Strategy Sessions: Use the AI-generated "Action Items" to ensure team tasks are never forgotten after a meeting.
How to use:
Schedule a meeting via your integrated calendar.
The Bookipi Bot will join the meeting at the scheduled start time.
Ensure the host admits the bot from the Zoom "Waiting Room" (if enabled).
After the meeting, log in to Bookipi and go to Past Meetings to view your summary.
Removing the AI Meeting Assistant
If you no longer wish to use the AI Meeting Assistant, you can disable it within Bookipi.
Log in to your Bookipi account.
Open Meetings tab.
Disable the toggle for the AI Meeting Assistant
Note: Existing transcripts and summaries will remain accessible in your Bookipi account. Your meeting data is not deleted when you disable the assistant.
Required Permissions
The Meeting Assistant requires the following Zoom permissions to function:
Join meetings as a participant: Allows the bot to join your Zoom meetings.
Access meeting audio: Required for transcription purposes.
View meeting information: To identify which meetings to join.
These permissions are used solely for transcription and summary generation. The bot does not have access to video, screen sharing, or chat content unless explicitly enabled.
Troubleshooting
Bot Not Joining Meetings
Verify the AI Meeting Assistant is enabled.
Check that Zoom permissions are still active.
Ensure the meeting is scheduled through your Bookipi calendar integration.
Missing Transcripts
Wait a few minutes after the meeting ends for processing to complete.
Check that the bot successfully joined the meeting.
Ensure meeting audio was enabled and participants were speaking.
Contact support if transcripts are missing after 24 hours.
