How to create and send an invoice

Step 1: Sign up or Sign in to Bookipi https://bookipi.com.

Click 'Get started' to create a new account, or 'Log in' if you already have one.

If you’re logging in, enter your existing account credentials to access your dashboard.

Step 2: Click ‘Invoice'.

Click ‘Invoice’ from your dashboard to create an invoice.

Alternatively, choose ‘Invoice’ from the left panel of your screen, then click the ‘+ Create’ button in the upper right corner of the page.

Step 3: Add a customer.

You can select an existing customer from your Customers list or click 'Create a customer' to create a new customer.

Remember to list only one email address when creating a new customer account to prevent any issues when your customer makes a card payment.

Step 4: Add an item.

You can choose an existing item from your Item list or click 'Add a new item' to create a new one. Then, you can adjust the quantity and price, and add or edit the item description as needed.

Step 5: Customize and enable other options on your invoice.

You can add and modify fields such as Discount & Shipping, Tax, Dates, and others on your invoice. Additionally, you can enable signatures, set overdue reminders, and make it a recurring invoice, then choose an interval.

Step 6: Click ‘Continue’.

Click ‘Continue’ to generate an invoice.

Step 7: Click ‘Send’.

Check that all the invoice information is correct. Click 'Send' to send the invoice to your customer.

Alternatively, you can manually mark the invoice as 'Sent'.

Step 8: (Optional) Send to multiple recipients.

You can add multiple recipients only when prompted to send the invoice. To avoid any issues particularly when your customer makes a card payment, please refrain from saving multiple email addresses for a single customer.

To include multiple recipients, separate the email addresses with commas. You can also cc yourself in the email and add a personalized note for your customers. Make sure to double-check the email addresses before clicking 'Send'.

Step 9: (Optional): Enable card payment for your customers.

Your customers can also pay directly with card payments from their invoice using the 'Pay now' button.

If you haven't activated card payments yet, simply enable ‘Accept card payments’ in the right panel of your screen before sending your invoice.

Alternatively, you can activate it from your account 'Settings' by navigating to the 'General' tab and clicking ‘Connect with card’ under the Accept card payments option in the Payment section.


How to edit an invoice

Step 1: Click ‘Invoice’.

Select the 'Invoice' category from the left panel of your screen.

Step 2: Select the invoice.

Click on the invoice you would like to edit.

Step 3: Click ‘Edit’.

If the invoice is in 'Draft' status, you can directly make changes by modifying the fields.

For 'Sent' or 'Read' statuses, click the ‘Edit’ button in the upper-right corner to enable editing.

Step 4: Make necessary changes.

Make necessary changes to your invoice.

Step 5: Click ‘Update’.

Click ‘Update’ to save the changes.

Step 6: Send the invoice.

Following updates to a sent invoice, you will be prompted to resend the updated version to ensure your customer receives the changes.

Invoices marked as 'Paid' or 'Partially Paid' cannot be modified unless the recorded payment is first removed. This ensures the accuracy of financial records. Always resend updated invoices to maintain clear communication with your customers.


How to filter invoices

Step 1: Click ‘Invoice’.

Select the 'Invoice' category from the left panel of your screen.

Step 2: Filter the invoice status from the top bar.

Click on the invoice status you wish to filter by. You can easily view invoices by selecting statuses such as 'Paid', 'Overdue', or those with 'Recurring' enabled.

Click ‘More’ to access additional filtering options for your invoices, including All’,Draft’, Sent’, Read’, and ‘Paid’ (‘Fully Paid’ andPartially Paid’) statuses.

To view your archived invoices, click the ‘Archived’ button located at the top right of your invoice list.
