How the Customer List can help you to use the information you have collected from customers

Whether you're a beginner or have an established business, it's important to consider what information to collect, why, and how to use it effectively.

This article covers:


Asking the right questions

You can fully customise your booking forms by adding different types of fields to collect information.

Once you've covered the basics, such as:

  • Getting your customers to agree to your T&Cs

  • Confirming dietary restrictions

  • Signing a waiver

There may be additional consents you wish to obtain, such as consenting to marketing emails or consenting to pictures being taken during the event.

Collecting consent beforehand using the booking form will save you time, as gaining this afterwards can be challenging.

Additional ideas ✨

  • Perhaps you'd like to reward your customers on their birthday with a voucher? To do this, you'll need to collect their date of birth.

  • Maybe you're running a competition or prize draw with a question that customers complete in the booking form.


Tidying up your data

It's good practice to ensure that your email list is tidy. We quickly identify if an email address is invalid, and you can filter your search to find them.

To do this, select Customers from the left-hand menu, then Filter by, Email status, Add and Search:

There may be some apparent typos that you can fix right away.

Sometimes, emails aren't marked as 'invalid', as the formatting for the email is correct.

  • This is why it's best practice to double-check them, and you may wish to check with the customer before updating.

If an email isn't marked as 'Invalid' but is incorrect, there might be a restriction, possibly due to GDPR rules. In such cases, please reach out to the support team through live chat or email at support@bookwhen.com.


Engaging

There are multiple reasons why you may engage with your customers, such as:

  • Rewarding your regular customers or reaching out to those who've not attended a class in a while.

  • You have a special event coming up

  • Promoting a time-restricted discount

  • Significant anniversaries or birthdays

  • Asking for testimonials

There are many great ways to show your customers you care whilst promoting your business simultaneously.

Ensure you're following the rules and making the most of your information for great results.

✨ Don't be afraid to think outside the box too. Everyone's email inboxes are full of more information than they could consume in a lifetime, so embrace your individuality and keep it personal!


Exporting the list

You've got complete flexibility in filtering and sorting your Customer List. You can use the built-in tools or export your customer list and work with it using your own spreadsheet software (Excel, Sheets, etc).

When you've added all of your required filters, select Search, then Options and Export customers (CSV):

In the above example, filters include:

  • Customers who have agreed to be contacted and those with confirmed email addresses (the system has identified these as correct based on successful email delivery).

  • Customers who haven't attended a class since December 2020:

You can export that list for import into tools like Mailchimp or take the email addresses directly for use in a regular email.

You can then send those customers a targeted email, for example: "Hey! We've not seen you in a class for a while, so here's a 20% discount to welcome you back on your next booking".
