How to set up PayPal on Bookwhen to take secure online payments.

Creating a PayPal business account

You'll need a PayPal business account to connect to your Bookwhen account. You can create a new PayPal business account via Bookwhen by selecting Settings from the left-hand menu, then Payments.

From here, select Setup next to the PayPal option:

Then Connect with PayPal button. You will then be redirected to PayPal to create your new Account:

✨ Alternatively, you can register directly with PayPal.

You will need to submit information regarding your business and bank account. Once this information is submitted and verified, you can connect your Account with your Bookwhen Account.

💡 To note: PayPal doesn't allow multiple Bookwhen accounts to be connected to the same PayPal account.



Converting your personal PayPal account into a business account

You will need a PayPal business account to accept online payments via Bookwhen.

If you have an existing PayPal personal account that you wish to use, you can upgrade your personal Account to a business account by following these directions:

  1. Head to PayPal, log in to your Account and select the settings icon ⚙️ in the top right.

  2. Select the Convert to a Business account option at the bottom.

  3. Enter your Business Information and select Agree and Convert Account.

If you have already attempted to connect your PayPal personal account, you will need to upgrade your Account to business, then select Reauthenticate PayPal to update the integration to business:


Connecting your PayPal account with Bookwhen

  1. Please ensure you log into your PayPal account on another tab or window on your web browser before connecting your PayPal account with your Bookwhen account.

  2. Select the Settings tab from the left-hand menu, then Payments.

    Please note - that you will need to be an Account Owner to access this page.

  3. Then select Setup next to the PayPal option, then Connect with PayPal button:

The system will process all online payments made on your bookings via PayPal. You can add your refund policy by selecting Edit to the right of currency:

  • This will then appear in the footer of your public page.


You can also add online payment fees to your PayPal settings. However, if you are a European company, please be aware of the surcharge ban laws.

💡 To note: We will pull through the business/organisation name used within PayPal in Account details, and this is the name that shows on the emails sent to customers:


Verifying your PayPal account

After integrating, please follow these verification directions if your PayPal account appears as 'Unverified'.


Using PayPal in an iframe

PayPal checkout may encounter errors in an iframe due to changing security measures by PayPal, which are not always communicated to us (Bookwhen).

If you or others encounter errors, you can guide customers to your Bookwhen public page outside the iframe.


Guest checkout

Even with Guest Checkout activated on your PayPal account, some customers may still be prompted to sign up to PayPal based on their personal history.

This is beyond our control, as it depends on PayPal's restrictions to prevent excessive Guest Checkouts. If this becomes problematic, you may consider switching to Stripe, which offers lower fees and allows card-only purchases without the need for accounts.
