How to Create an Email Template

If you'd like to create Email Templates to utilize in communication with your leads through BoomTown, navigate to the Marketing tab of your left-hand menu bar, and select the option for Email Templates.

Within your Manage Email Templates page, select the create a new template > link at the top of the page.

Any Company or Group Templates that an Admin user on your team has created will display as options in the Message Templates drop-down when going to send an email to a lead, but will not show on your Email Templates page!

Once on the Email Template creation page, first enter the template name, within the Name this template field.

Your leads will not see the name of the Email Template, so you can call the template something to help you recognize it, like Welcome Email.

In the Hide from dropdown? field, select the radio button to determine whether the template should show in the Email Templates drop down menu when composing an email in the system.

Next you can enter the Email Subject, which is the subject line your leads will see when receiving the email.

You can actually utilize Template Text in the Email Subject of your templates. To do so, select from the Template Text drop-down to populate your Template Text within the Email Body. Then copy and paste that Template Text into the appropriate part of the Email Subject!

Now you can compose the Email Body, which is the content of the email that will send out to leads. You can include attachments on the Email Template, and make formatting changes using the formatting bar at the top of the email composition area.

DO NOT copy and paste the body of your email from Word, Outlook, or any other outside source. This will add unwanted formatting to the email, which can cause issues saving the plan or sending the email, as well as impact the formatting of the email upon delivery to your lead.

Add Template Text to your template to have specific information automatically populate into your future emails.

To do so, select the Template Text drop-down located near the formatting tools in your editor toolbar. Here's a list of all the available options!

Finally, just be sure to save the template, using the Create Email Template button!

#Protips

  • If you have already elected to use a stored signature from your profile page in your account, do not include a signature in the template! Otherwise, your signature will display twice.

  • Avoid typing what you believe the Template Text should be into the body or subject of your email. The Template Text will only function when Template Text is inserted from the drop down menu or copy/pasted from Template Text already inserted within your BoomTown email body. Typing Template Text and mistakenly adding a space or other character inside the Template Text will break it, and the text you want to populate will not fill in your email -- instead the lead will just see what was typed.
