User access roles and permissions

There are different user roles in Booxi; these roles determine the level of access and associated permissions each user has. The roles include the following:

  • Administrator

  • Supervisor

  • Manager

  • Staff

  • Restricted Staff

User roles only apply to users who've been invited to join Booxi (i.e. those who have access to their own Booxi account); this is for staff members who use Booxi to perform business operations (e.g. manage appointments and schedules). To invite a user to join Booxi, see here.

Edit a staff member's user role

Only administrators can edit a staff's user role.

To edit a staff member's user role: go to the "Personnel" tab > {select a staff profile} > User access

Create, duplicate and edit* appointments

*Admins, Supervisors and Managers can edit appointments for all staff members. Staff and Restricted staff can perform these actions only for staff whose calendar is shared (To access, go to Personnel > {select a staff member} > Booking rules > Share calendar)

  • Create a group availability

  • Edit, delete, copy, paste group events

All user accesses can perform the following:

- Print attendance list

- View Cancellations

  • Create and edit group event reservations*

  • Edit the attendee status in a group event*

*Admins, Supervisors and Managers can perform these actions for all staff members. Staff and Restricted staff can perform these actions only for staff whose calendar is shared (To access, go to Personnel > {select a staff member} > Booking rules > Share calendar)

Create and edit rental reservations

Create and edit appointments involving any staff and service pair without being shown a warning/error.

Calendar Permissions

Create, edit, delete, copy and paste time slots*

*Admins, Supervisors and Managers can perform these actions for all staff members. Staff can perform these actions only for themselves, and for staff and resources whose calendar is shared (see Booking rules)

View the calendar of staff members and all resources.

View the alerts involving staff members.

Reorder staff list

Reports:

Generate appointment reports, group reservation reports, rental reports and metric reports.

If you have multiple stores, it is possible to export bookings for all stores, but your store must be part of a merchant group. Contact your Booxi representative for more info.

  • Personnel details

  • Staff picture

  • Staff translations

  • Staff service assignments with price and duration customization

  • Staff region assignment (if applicable)

Add/edit/delete work schedule*

Admins cannot change their own user access, nor the owner's.

Service Permissions

  • Create services*

  • Duplicate services

*The type of services that can be created depend on your activated features; contact your Booxi representative for more info.

Edit the following:

  • Service details, except for online payment settings

  • Service translations

  • Service picture

  • Service online/offline status

  • Service staff assignments

  • Service resource assignments

  • Service appointment rules

  • Service appointment rule translations

  • Link Lightspeed items to services, and edit the link attribution

View and edit the service online payment settings (see Service details)

Online payment settings will only be displayed if:

- You have an active payment module enabled (i.e. Stripe or Square)

- The service price type is either "Fixed price" , "Starting at" or "Price per person

Delete services

Create service categories

  • Edit the service category details (see Category details)

  • Edit the service category picture

Delete service categories

Reorder services and service categories

View the following:

  • Service details

  • Service category details

  • Service booking rules

  • Service assigned staff

  • Service assigned resources

Client Permissions

  • Create client profiles

  • Merge client profiles

Access the client list

  • Edit client details

  • Edit client picture

  • Create, update and delete client notes (if the feature is activated for your subscription)

The same permissions apply to clients shared from other stores.

Edit the client status (active, blocked)

Delete clients

Create/send client messages (if the feature is activated for your subscription)

Import clients from Square and Lightspeed

Lightspeed import (see Clients tab)

Square sync (must enable "CRM sync" from the configuration panel)

Export your client list

  • View client details

  • View client booking history

Resource Permissions

Create resources

*The type of resources that can be created depend on your activated features; contact your Booxi representative for more info.

Edit the following:

  • Resource details

  • Resource translations from the details section

  • Resource picture

  • Resource active/out of order status

  • Resource service assignments

Edit the resource availability schedule

Edit the resource booking rules

Delete resources

Create resource categories

Edit a resource's category name

Delete empty resource categories

Import resources from a Lightspeed item CSV*

*You must have the Lightspeed integration enabled in your account.

  • View resource details

  • View resource availabilities

  • View assigned services

Store Permissions

  • Edit store details (see Business details)

  • Edit store translations

  • Edit the store's picture and banner

  • Edit the store's online/offline status

  • Edit store open hours

  • Edit store booking rules

  • Edit store booking rule translations

View and edit the "Subscription and Billing" tab.

If you are on the Solo plan, this tab will not be displayed in your account.
