Create or Add Non-Competition Events

Learn how to schedule single or bulk non-competition events, and how to add one to an existing event.

Written by Avery Petersen

A non-competition event is an event without a competition. Each one has a category:

  • Practice: Practices and other team activities, such as team meals and photo days. Use it for team activities you want on the program's schedule.

  • Scheduled Event: Events that aren't connected to a program, such as school meetings and parent-teacher conferences. A Scheduled Event doesn't show on a program's schedule, even when you select an activity and team level for it.

You can create one at a time, create several at once, or add one to an event that's already on your schedule.

Note: Admin/assignor access is required for Event management.

Create a Non-Competition Event

  1. Go to Events -> Add Event.

  2. Under Add Non-Competition Event, click Add Event.

  3. Enter a Title, and optionally a Caption and Additional Notes. Use Additional Notes for details about setup, custodians, and facility use reports.

  4. Choose a Category:

    • Scheduled Event: Events that aren't connected to a program, such as school meetings and parent-teacher conferences.

    • Practice: Practices and other team activities, such as team meals and photo days.

  5. Leave Status set to Active. The Mark as Schedule Change checkbox is also under Status.

  6. Set the Date, End Date, Start Time, and End Time. To add a venue, click Set Location(s).

  7. To add another date or time to the same event, click Add New Session. In Session, set the Date, End Date, Start Time, and End Time, and click Create.

    • The event's sessions are listed under Sessions. To change the date and times of every session at once, click Edit All Sessions.

  8. Turn on Show event each day if you want the event visible on every day of a date range. Leave Public visibility on to make the event public.

  9. Add any Tags. Leave Show On Public Calendar on to show the event on your public calendar.

    • Events show on the calendar only when the event is publicly visible and Show On Public Calendar is on.

  10. Under Activities, select the activities and Team Levels for this event.

    • For a Scheduled Event, these selections let you filter for the event on the calendar and in reports. They don't add the event to the program's schedule.

  11. Click Save. The form has a Save button above and below Activities, and either one saves the whole event.

    • If Event Issues Found opens, review the Event Warnings. Click Keep Editing to fix them, or click Create Event to save the event as is.

Bulk Add Non-Competition Events

Note: Bulk Add doesn't set a Category. Events you create this way are neither a Scheduled Event nor a Practice until you edit them and choose one.

  1. Go to Events -> Add Event.

  2. Under Bulk Add Non-Competition Event, click Create Events.

  3. Enter a Title, and click each date you want an event on. Selected dates are highlighted.

  4. Select Recurring Weekly if these events repeat on the same day each week.

  5. Set the Day Start Time and Day End Time.

  6. Optionally, click Set Location(s) and Set Tags. Leave Show on School Public Calendar on to show the events on your public calendar.

  7. Click Add Event(s) to add the events to Queued Events.

  8. Review the Queued Events list. To change every queued event at once, use Set Title on all, Set Start Time, Set End Time, or Public Calendar, and click Apply to All.

    • Location and tags apply only when you select Also set Location on all or Also set Tags on all.

    • To drop a single event from the list, click Remove Event on it. To empty the list, click Clear All.

  9. Click Create Events.

Add a Non-Competition to an Existing Event

  1. In Events, click the green flag button on the event, and click Add.

  2. Under Non-Competitions, click Add Non-Competition.

  3. In Create Non-Competition, fill in the fields the same way as in Create a Non-Competition Event.
