Adding an Event & Sending a Contract

The below article will take you step by step in adding a Head to Head event and sending the contract.

How to create a head to head event - set the location(s), choose who's hosting, and send out the contract.

  1. Navigate to Events.

  2. Make sure you have the right year selected.

  3. Click on "Add Event"

  4. To schedule by School, click Add Event under 'School Competition Event.'

  5. Click on the + next to the activity.

  6. The event will default to your State, Association and the Season you are scheduling for, as well as set your school as the Home team.

  7. Click on the box under Away to select an opponent team.

  8. You must start typing for schools to appear. Select the opponent school once it appears.

  9. If you need to make changes to the home or opposing team, click Edit Team next to that team.

  10. You can easily swap who is home and who is away using the swap icon:

  11. Add a Caption. The Title will auto-generate based on the competing schools; captions are what you name the event.

  12. Select the Date, Start Time and End Time. Double-check these are accurate. If there are multiple sessions in this event, e.g. a TBD stepladder game later in the evening, click Add New Session. Set the data and times as before, and double check before continuing.

  13. Click Set Location(s).

  14. Your school's Venues will appear here. You can also search for and select a venue from another school.

  15. Venues may have multiple Spaces, e.g. multiple tennis courts. When you choose a venue, all spaces in that venue are selected. To choose a Space, click Choose Spaces next to that Venue.

  16. Select the event Host.

  17. Click Create Game. The event is created. You will be returned to the main scheduling page.


Sending the Contract

Event contracts are automatically pushed out at midnight. Sending the contract manually, as outlined below, is optional in most cases.

  1. Click Event.

  2. Click on Hosting in the drop down.

  3. Click Setup Contract.

  4. Enter a Title and any Disclaimer information.

  5. You must indicate the Fee Type.

    • Per Event - One fee for the whole event (every session)

    • Per Competition - Fee required for each session

    • None - No fee

  6. Click on the team name you are sending the contract to under Parties. The team will appear greyed out when unselected.

    If multiple schools are displayed, you can bulk select by clicking Select All.

  7. If you have a PDF of your contract, upload it under PDF Contract.

  8. Click Publish Contract.

  9. Review and Send. Add additional email addresses (separated by commas) in the box.

  10. Click Send. Once sent, the event is locked. Only the current host will be able to edit or delete event details.
