Assigning Accounts to Programs

Learn how program account assignments route ticketing revenue, how to set a default account for a program, and how to assign accounts to individual levels.

When someone buys a ticket to one of your events, that money has to land somewhere. The Programs page is where you decide where. You assign an account to each program, and to the individual levels within a program, so that ticketing revenue routes to the right place automatically.

Each program has a Default Account. Revenue from any level that doesn't have its own account assigned falls back to the program's default. This means you can set one account for an entire program and be done, or assign accounts level by level when a program's teams keep their money separate.


How Program Account Assignments Work

A program is a sport (Girls Basketball, Boys Soccer). Within a program are levels: Varsity, Junior Varsity, Freshman, and so on. Both the program and each of its levels can point at an account.

The rule that ties it together: a level uses its own assigned account if it has one. If it doesn't, it uses the program's Default Account. A program with a default account and no level assignments routes everything to that one account. A program with accounts on each level routes each level's revenue separately.

At the top of the page, a summary tracks your progress across every program: Total Levels, Assigned, and Unassigned. The unassigned count tells you how many levels are still relying on a default (or have no account to fall back on at all).


Assign Accounts to a Program

  1. From the lefthand menu, click Accounts, then Programs.

  2. Programs are grouped by category (for example, Girls and Boys). Click a category header to expand it, then find the program you want.

  3. In the program's Default Account row, click the account field and choose an account.

  4. To route a specific level somewhere other than the default, click that level's account field (Varsity, Junior Varsity, Level C, and so on) and choose an account. Leave a level blank ("Choose Account") to have it use the program's default.

  5. Click Save.

You can also type out an account name to search from the list. Each account shows its External ID next to the name, which is useful when two accounts have similar names.

Note: The Save button stays visible as you work and shows your progress, for example "10 of 58 levels assigned." Your assignments aren't applied until you save.
