Company documents is an area in Breathe where you can manage documents intended for your people.

You can:

  • Add and update documents

  • Indicate who is required to read them (and by when)

  • Send reminders to people who haven't read them

Go to Company > Company documents:

Adding a document

To add a new document simply click on the + button in the top right-hand corner of the page, and you'll see this form:

Upload the document and put in the document title, tags, and audience. Next, select whether to make the document a required read and, if so, add the date by which the document needs to be read.

If you wish to be reminded about a document expiration just add a date in the Review date section and an email will be sent to all HR users on the account.

Once the necessary fields are complete just click add document to save the document to the company documents section.

When you add a company document the audience will be sent a notification letting them know they have a document to read.

Please note: Only users with HR permissions can add documents to this area.

Using tags with documents

Applying a tag to a document that you have uploaded, such as a 'Company Handbook', will allow you to simplify the search process for both you and your people. This is particularly helpful if you happen to have a high number of documents.

For example, you may have 50 company handbooks, and to simplify the search process you can use the tags 'handbook' and 'security'. This will refine the search more effectively to help locate the relevant documents quicker for you.

To add a tag simply type the word and then press Enter on your keyboard. For example, type 'user guide' into the tags text box and press Enter:

Viewing Company Documents

You can see what company documents you have to read via your personal dashboard:

When you view the company documents that are intended for you, you have the option to download the document or mark it as read:

Reviewing read-required documents

If you are an HR user, you can see who has read the documents, and the date and time they marked them as read by going to Company > Company Documents and clicking the arrow icon next to the document record. You can also send a read reminder to those that haven't yet marked the document as read by clicking the paper plane icon:

Note: The read reminder email will only be sent to those people who haven't yet read the document, giving them a nudge.

If you click the icon with the arrow, this will mark document as unread by all employees, which will allow you to re-send the read-reminder to all employees again.

Editing or deleting a document

If you ever need to edit the document details or update the document, you can change the document record by using the edit (pencil) icon. You can also delete the document by using the bin icon:
