Providers can upload important documents, like background checks, medical forms, waivers, and physical exam records, directly within each individual staff or student profile.
Everything stays organized within that personâs profile, so itâs simple to find, share, and get reminders when documents expire and need to be updated.

Add a student profile attachment
Admins and Managers can add documents to the student profile and choose to allow visibility to teachers, parents, and/or family contacts. You can
Here's how:
From the Students or Rooms sections, locate the student you wish to upload a file for and click on their name to open the Student Profile
Choose on the Attachments tab
Click the Upload an Attachment button
Drag and drop the file onto the popup or click the link to open the file picker and choose your attachment
Select the attachment type from the dropdown. If the type doesn't exist, simply type in a new type and click enter to add it.
Optionally, choose an Expiration Date to monitor when it needs replacing
Complete the prompts and select the user types that should be able to download these files
Click Save Attachment
Only administrators are able to upload, edit, or delete attachments.
Teachers, parents, and family can only download the file if visibility has been granted. This setting can be updated at any time by an admin.
The note and expiration date are visible to users who are granted access.

Add a staff profile attachment
Adding attachments to staff profiles is also easy to do by administrators on the web, these files are only accessible by administrators:
Navigate to the Staff & Payroll section of the web app
Locate the staff you are attaching the file to and click Action > View/Edit next to their name
Toggle over to Attachments
Hit the Add Attachment button
Drag and drop the file onto the popup or click the link to open the file picker and choose your attachment from your device
Select the attachment type from the dropdown or type a custom name to add it to the drop-down for future uploadsÂ
Optionally, choose an Expiration Date to monitor when it needs replacing
Complete the prompts and click Save Attachment
How profile attachment expiration dates work
A profile attachment expiration date defines how long a submitted form remains valid before a new copy is required. Admins are notified via email 2 weeks, 1 week, and 3 days before an attachment is set to expire.
Providers can also run an Attachments report to quickly identify expiring documents, along with identifying staff and students missing attachments.
