Set up out-of-ratio alerts

[For Admins + Managers] Learn how to set student-staff ratios to receive alerts when a room ratio is exceeded.

Once a room's staff-to-student ratio is set and notifications have been turned on, admins will receive a push notification and in-app alert anytime you are out of ratio. This helps providers ensure rooms are properly staffed and maintain compliance.

💡Tip: Programs can also monitor live room ratios remotely with the Room Check Report and export historical ratio records via the Ratio Report.


Set up ratio alerts

Step 1: Set ratios

As a first step, you'll need to set a ratio for each room. Student to staff ratios are measured by the maximum number of students that can be in a room with a single staff member. This will likely vary by room and age range.

On the App

  1. From the sidebar menu, hit My School > Rooms

  2. Click the room name > Room settings (top right)

  3. Set the student to staff ratio, then hit Save

  1. From the Administrator Home page, tap Room Check

  2. Click the gear icon in the top right

  3. Select the number of students to staff for the desired room(s)

  4. Hit Save

Step 2: Turn on notifications

By default, out-of-ratio notifications are turned on. However, it is a good idea to double-check. Follow the steps here to enable push notifications for Ratios. Once your ratios are set and notifications are on, you’ll start receiving alerts automatically!


Turn on/off ratio notifications

Administrators can turn off out of ratio notifications or turn them back on as needed. To do this, set the ratios to zero or turn off push notifications.
