How to Reschedule or Cancel a Trip

Learn how to reschedule a trip to a new date or issue a refund directly from a booking, including which refund method to use and important notes on Stripe fees and guide reports.

If conditions on the water change (for example, the river blows out and fishing will be poor or unsafe), you may need to reschedule or refund a trip. Here’s how to manage that directly from the booking.


Step 1: Open the Booking

  • Navigate to the client’s booking in the system.

  • Click to view the trip details.

  • Select Manage Booking.


Step 2: To Reschedule a Trip

  • Within Manage Booking, click Edit.

  • Click on the date field and select the new trip date.

  • Confirm the changes:

    • The system will show any price difference, if applicable.

    • If the difference is $0, no further action is needed.

  • Once confirmed, the client will automatically receive a notification of the updated date.


Step 3: To Refund a Trip

  • Within Manage Booking, scroll to the Payment Summary.

  • In the bottom left, click on Cancel or Refund.

  • Select Refund.

Important: Before You Refund

  • Always confirm that a refund is absolutely necessary.

  • If a payment is refunded, the Stripe card processing fees are not refunded, meaning you will be out that cost.

  • If the client is okay with the payment being processed and credited toward a future trip, it is usually best to avoid refunding.

  • If you're unsure, consider encouraging a reschedule instead.

Refund Options

In the Confirm Refund window, choose one of two options:

  • Refund to reverse a charge (affects invoice balance) — refunds a payment made through Brindlechute and updates the balance due.

  • Refund without affecting invoice balance — issues the refund without changing the invoice, for off-platform refunds or courtesy credits.

After selecting your refund method, confirm the refund.


A confirmation will appear in the communication history, showing the refund was processed and the client was notified.


Cancellations and Guide Reports

If a cancellation occurs, any guide reports that may have been completed will be deleted, since the guide has not yet been paid.


Confirmation and Transparency

All changes—whether rescheduling or refunding—are documented in the communication history.


Clients are notified automatically, ensuring transparency and trust.
