How to Configure Policies settings and Set Your Cancellation Terms

Define clear cancellation terms in Policy Settings so clients see and agree to them before booking or canceling a trip.

Your Policies settings make it easy to display key policies clients must see before paying—starting with your required cancellation policy and followed by optional Terms of Service and Privacy Policy.


Accessing Policies settings

Click your outfitter name in the top left to open Organization settings, then select Policies settings.


Cancellation Policy (Required)

This is the only required field in Policies settings.

  1. Under Cancellation Policy, choose how you’d like to display your terms:

    • Text Input: Write your cancellation terms directly in Brindlechute.

    • Link to Site: Add a URL where your policy lives externally.

  2. Be clear and specific—include timing and refund details.

    • Example: “50% refund if canceled more than 14 days before the trip.”

Clients will see your cancellation policy on your booking page and in their trip itinerary.


Reading or Saving Your Cancellation Policy

You can return to your policy anytime to review or update it — open Policies settings again and expand the Cancellation Policy section to view your current policy.

There isn't a built-in download option for policies. To keep a copy, select the policy text and paste it into a document on your computer. If you chose Link to Site, your policy lives at the URL you added, so you can save it from there.

Any changes you make take effect once you click Update.


Terms of Service (Optional)

Use this field to outline how you operate and what clients agree to when booking.

  • Choose Text Input, Link to Site, or select I don’t have one.

  • The Terms of Service appear alongside your cancellation policy on the booking page and itinerary for client transparency.


Privacy Policy (Optional)

Let clients know how their personal data is handled.

  • Choose Text Input, Link to Site, or select I don’t have one.

  • Like your Terms, this appears during checkout and in the client itinerary.


Extra Consent Checkbox

Turn on the Extra Consent Checkbox if you want clients to confirm they’ve reviewed all policies before payment.


Saving Your Settings

Always click Update to save.

Your cancellation, Terms of Service, and Privacy policies will display clearly to clients before they make any payment—keeping everything transparent and compliant.
