How to Set Instant Book or Request to Book

Choose whether clients book instantly or send a request, control how open spots are counted, and set off-season dates, for all experiences or one at a time.

You can choose whether clients can book a trip instantly or must send a Request to Book. You can also control how open spots are counted and how close to the trip date instant booking stays available. Set these once for all experiences, or override them for individual experiences.

Open your booking settings

  1. Click Trip calendar in the left sidebar.

  2. Click Online Availability Settings in the top right.

  3. Click Manage online booking.

Manage online booking has four tabs: System default, Manage by experience, Exceptions, and Display settings. This article covers the first two.

Set the system default for all experiences

On the System default tab:

  1. Under Availability settings, choose how clients can book:

    • Locations: open spots are based on remaining capacity at the locations you select.

    • Guides: open spots are based on guide availability.

    • Slots: you set a fixed number of open spots.

    • Request to book: every online booking comes in as a request for you to approve.

    • Fully blocked: the experience can't be booked online.

  2. If you chose Guides, use Advanced settings to pick All guides or Eligible guides.

  3. For Guides or Slots, enter a number in Additional slots to open more spots beyond that count.

  4. To add another condition, click Add limit rule. A booking must meet every rule to be booked instantly.

  5. Under Allow instant online booking, enter the Instant booking cutoff time in days before the start date. Trips starting inside this window switch to Request to Book.

    • Example: with a 3-day cutoff, a trip starting in 2 days shows as Request to Book, and later dates stay Instant Book.

  6. Under Set off-season range, click Add off-season range to set date ranges as Request to book or Fully blocked. Dates not covered by a range stay available for instant booking.

  7. Check the Yearly Preview to see which dates are Fully blocked, Request to book, or Instant booking.

  8. Click Save in the top right.

The fields shown depend on the option you choose.

Set different rules for one experience

On the Manage by experience tab:

  1. Find the experience, or search for it by name.

  2. Turn on the Override toggle.

  3. Click the pencil icon on the experience's row. The pencil icon appears once Override is on.

  4. In the window that opens, set Availability settings, Advanced settings, Additional slots, Instant booking cutoff time, and Off-season range the same way as the system default.

  5. Click Confirm.

  6. Click Save in the top right.

Experiences without Override turned on follow the system default. If the system default is set to Request to book, every experience without an override shows as Request to Book to clients.

To change availability for specific dates only, use the Exceptions tab. To learn how each availability option counts open spots, see How Manage Online Booking Controls Instant Booking and Request to Book. To see what clients experience on a Request to Book date and how to approve their requests, see How Request to Book Works for You and Your Clients.
