When setting trip dates in Brindlechute—either during a new booking or from an existing draft—you can see which guides are free before assigning anyone. Guide availability appears in the date window itself, below the calendar. The window is titled Select Dates when you first add an experience, and Edit Dates when you reopen dates that are already set.
From a New Booking
Start a new booking — In the sidebar, click New booking.
Fill out booking details — Add the client information, plus client notes and guide notes if needed.
Add the experience — In the Itinerary builder section, under Trip 1, click Add experience and select the experience your client wants to book. The Select Dates window opens on its own once the experience is selected.
Set the number of persons — In the Persons field at the bottom of the window, enter how many people the trip is for. This field is required, and the number of persons determines how many guides the trip needs.
Choose the dates — Click a single day on the calendar, or click a start day and an end day for a multi-day trip. The Start date and End date fields fill in at the top of the window.
Choose the time — Under Time & duration, click the time window for that date. The duration set on the experience appears next to the date.
Check Guide Availability — The Guide Availability section appears once you select a date. The Guides row shows two counts for the selected date and time: total available and eligible available.
See who is available — Click the counts to open the guide list. The Eligible tab shows the guides qualified for this experience, the Ineligible tab shows the rest, and each guide's status appears next to their name.
Apply the dates — Click Select.
To change the dates afterward, click the trip date on the experience row. The date is underlined, and clicking it reopens the window as Edit Dates.
From a Draft Booking
Go to draft bookings — From the dashboard, click Bookings, then select Drafts.
Open a draft booking — Click the draft booking you want to edit.
Edit the booking — In the top right corner, click Edit.
Open the dates — On the experience row, click the trip date. The date is underlined, and clicking it opens the Edit Dates window.
Check availability and apply — Follow steps 4 through 9 above.
Bookings With More Than One Trip
A booking starts with Trip 1 already created, so a single-trip booking needs no extra step. Use Add a trip only when the same booking covers more than one trip—for example, a trip today and a second trip on the same date next year. Each trip carries its own dates, persons, and experiences, so check guide availability separately for each one.
What the Two Counts Mean
Total available — every guide with no conflict during the selected date and time.
Eligible available — the guides from that group who are also qualified for the selected experience.
A guide only counts as available when they are free for the entire trip window. If a trip runs 8:00 AM to 3:00 PM, a guide with another trip from 8:00 AM to 10:00 AM that day will not appear as available.
Experiences Without a Set Time
If the experience has no time and duration configured, the trip is treated as an all-day block. The counts still appear, measured against the full day rather than a specific window.
This gives you an at-a-glance staffing check—useful for confirming trips quickly while handling inquiries in person or over the phone.
Note: You can assign guides later from the trip's per-unit details. Checking availability here helps you avoid conflicts before the dates are locked in.
