Sometimes a client’s card on file may expire, be canceled, or need to be replaced. To update the card used for a scheduled payment, you’ll first cancel the existing scheduled charge and then resend the invoice so the payment can be scheduled again using a different card.
This process allows either you or the client to add a new card and schedule the remaining balance.
What the client can do at checkout
Before a scheduled charge is in place, the client’s invoice includes its own payment controls. From the invoice they can:
Choose a payment plan — pay in full, pay the deposit only, or pay the deposit and schedule the remaining balance
Select a payment method — Card or Bank
Pick a saved card, or click Add card to enter a new one
The card is chosen per payment, so a client who paid the deposit on one card can select or add a different card for the balance. The upcoming balance charge is tied to whichever card is selected there.
One card applies per payment. A client can use a different card for the deposit and the balance, but a single payment cannot be split across two cards. To divide one payment across methods, collect it yourself with Collect Payment — see How to manage multiple payment methods to one invoice.
When a scheduled charge is already in place
Once the balance has been scheduled, the client’s invoice becomes read-only. They see the invoice summary and Payments Due, but the payment method options, saved cards, and Add card button are no longer shown.
This is why a client cannot switch cards on their own at this stage. To reopen it for them:
Cancel the scheduled payment on the Audit trail tab, under the Payments filter
Resend the invoice
The client can then select or add a card and pay or reschedule the balance
Full steps below.
Steps to Update the Card
1. Open the Booking
Go to the booking associated with the scheduled payment.
2. Cancel the Scheduled Payment
Click the Audit trail tab at the top of the booking, beside Booking info. Select the Payments filter. Find the scheduled payment above the divider marked The above are scheduled for the future, then click Cancel on it.
This removes the pending charge tied to the old card.
3. Resend the Invoice to the Client
After canceling the scheduled charge, resend the invoice to the client.
4. Client Updates the Payment Method
When the client opens the invoice, they can:
Select a card already saved on their account
Add a new card
Charge the remaining balance immediately
Schedule the remaining balance for a later date
(Optional) Update the Payment on Your End
You can also handle the payment for the client by:
Selecting a saved card
Adding a new card
Charging or scheduling the remaining balance
What Happens Next
Once the payment is scheduled again, the new charge will be tied to the selected card. The previous scheduled charge will remain canceled, and the updated payment will appear on the booking’s Audit trail.
