Brindlechute has three distinct types of client-related notes, each serving a different purpose and reaching a different audience. Understanding which to use — and when — helps you keep trip communication clean and client history accurate.
Can clients leave notes? Yes — when a client books online, they have the option to leave a note during the booking process. That note lands in the Private Notes section of the booking, where it's visible to your team internally but not shown back to the client or to guides.
1. Booking-Level Client Notes (Client-Facing)
Added by the outfitter on a specific booking
Tied to that trip only — they don't carry over to future bookings
Visible across all sides of the trip:
Clients see them in their Client Portal
Guides see them at the bottom of each trip in the Guide app
Outfitters see them within the booking
Best for confirmations, acknowledgments, or anything you want the client to see for this specific trip — e.g., "Your request for a morning float has been noted."
2. Profile-Wide Private Notes (Outfitter-Only, Permanent)
Added by the outfitter on the Client Profile, found in the Clients tab on the left side of your dashboard
Persist across every booking for that client — they're always there the next time they book
Internal-only: never shown to guides or clients
Best for the kind of details you want to remember forever: a favorite fly or reel setup, a serious allergy, a medical condition, family names, or a story from a past trip that makes the next one feel personal
