You can create guide tasks directly inside an experience. Once added, those tasks will carry over to every new trip created from that experience.
This keeps your workflow consistent and makes sure guides always know what’s expected—before, during, or after a trip.
When a guide is assigned to a trip, they’ll see their tasks in the Guide App and can mark them complete in real time. You’ll see those updates instantly on your outfitter dashboard.
How to Assign a Task to a Guide from an Experience
Open the Experience
From your dashboard, go to Products → Experiences.
Select the experience you want to edit.
Go to the Checklist Template Step
The experience opens on Step 1: Experience basic. Click Save & Next at the top of the page to move to Step 2: Checklist template, where guide tasks live.
Choose the Trip State
Select the trip state where the task should happen.
Examples: Before Trip, Day Of, After Trip, or any custom state you’ve created.
Add a New Task
Click + Add Task, then:
Set Smart Task → No
Enter a clear, action-based task name (example: “Confirm boat fuel”)
Choose Category → Unit
Confirm the Task Settings
Reopen the trip state and make sure the task appears under the correct timing.
Save the Experience
Click Update Experience at the top right.
Now, every new trip created from this experience will include this task automatically.
Important
• Existing trips will not automatically receive this new task.
If you need it added to current bookings, contact the Brindlechute Support Team.
• Guides are assigned to tasks inside each trip.
Open the trip details and assign the guide to the specific task. It will instantly appear in their Guide App.
• You can also add one-off tasks.
If you don’t want a task on every booking, open the trip and click + Task to create it manually for that trip only.
Setting up tasks at the experience level saves time, keeps trips consistent, and ensures your guides always have clear instructions—without extra back-and-forth.
