What do clients see when they receive an invoice?

Highlights the two-tab invoice portal, showing how clients easily switch between Payment and Itinerary to review trip details and complete payment.

When you send an invoice in Brindlechute, your client receives it within seconds. The email will display your Outfitter name as the sender and will come from info@brindlechute.com. The reply-to address is your Outfitter’s email, so clients can respond directly to you.

The subject line shows your name, and the body begins with a bold header:
“[Outfitter Name] sent you Invoice #.”

Below that, clients see:

  • The text from your invoice template

  • Any custom message you added before sending

  • A clear button to View & Pay Invoice

Once they open the invoice portal, clients can move between two tabs: Payment and Itinerary. This keeps everything they need in one place.

Payment tab includes:

  • Invoice total and line-item details

  • Payment method options

  • Automatic fee display that updates as they switch methods

  • Cancellation Policy, Fee Explanation, Terms of Service, Privacy Policy

  • Client information and transaction history

  • The button to confirm and pay

Note: The payment options a client sees depend on your deposit plan in Fee Settings. If a deposit plan is active and the trip is still outside your final-payment window, the client can choose a payment plan on the invoice: Pay deposit and schedule remaining balance, Pay deposit only, or Pay in full. Once the trip falls inside that window—or if deposit plans are turned off—the invoice requires payment in full. Clients can't enter their own partial amounts, but you can always collect a partial payment manually from the booking.

Itinerary tab includes:

  • Activity dates

  • Experience details

  • Meetup time & Location (depending on experience setup)

  • Guide Info (depending on your org set up)

This dual-tab view keeps clients confident and informed, giving them clear payment steps while letting them double-check their trip details without leaving the portal.
