Understand What Manually Added Clients See on a Trip

Understand how manually added clients differ from booking or invited clients, when they see trip details, and how to send itineraries early.

When you, as the outfitter, add a client to a trip manually, their experience is slightly different than the booking client or a client who was invited or added by the booking client.


What manually added clients receive by default

  • They do not receive an immediate trip confirmation when added.

  • They will receive pre-trip reminders based on your organization’s settings (typically 2–5 days before the trip).

  • Those reminders include access to their itinerary.


Send the itinerary sooner (two options)

Option 1: Send a reminder via Brindlechute

  • From the trip detail, find the client’s name.

  • In the Reminder column, click Send.

  • This sends an email with their trip confirmation, required tasks (waiver, license, forms), and a link to their itinerary.

Option 2: Share the client portal invite link

  • Reach the booking detail

  • Scroll to Invoice Summary.

  • Click the caret (arrow) next to View Client Portal and copy the invite link.

  • Send the link directly to the client.

  • The client must enter the same first name, last name, and email you added to access their portal.


Why this matters
Understanding this difference helps you control when clients receive trip details and ensures required tasks are completed before the trip.
