Understanding the Itinerary Builder: Trips & Itineraries

Learn how Trips work inside the Itinerary Builder so you can create clear, organized itineraries for your clients—whether it’s a single day or multiple visits.

The Itinerary Builder helps you create clean, professional trip plans your clients can easily understand. Whether you're setting up a simple day trip or organizing multiple visits across the year, understanding how Trips work will help you keep everything structured and easy to manage.


What Is a Trip?

Every booking starts with Trip 1 by default.

A Trip (also called an Itinerary) is a single, self-contained experience within a booking. Think of it like this:

If this were the only part of the booking, it would still make sense to the client.

Each Trip includes its own dates, experiences, and details.


How Trips Work

  • A booking can have one or multiple Trips

  • Each Trip is treated independently for scheduling and communication

  • All Trips stay grouped under one booking


When to Add Another Trip

Add another Trip when a client has separate visits that shouldn’t be combined into one continuous schedule.

Example:

  • Trip 1: March 12–15

  • Trip 2: June 8–11

  • Trip 3: September 18–21

This keeps each visit clear and organized without needing multiple bookings.


How to Add Another Trip

  1. Create a new booking or open an existing one

  2. Go to the Itinerary Builder

  3. Click + Add a trip

  4. A new Trip (Trip 2, Trip 3, etc.) will appear

You can add as many Trips as needed.


How to Duplicate a Trip

When the next Trip is the same experience on a different date, duplicate the Trip instead of building it again.

  1. Set up the first Trip with its experience, guest count, and start time

  2. Click the copy icon in the top-right corner of that Trip

  3. Change the date on the new Trip

Duplicating a Trip copies the experience, guest count, and start time, along with the original date. Update the date on every copy.

There are two copy icons in the Itinerary Builder:

  • The one on the Trip header duplicates the whole Trip, including its experiences

  • The one on an experience row duplicates that single experience inside the same Trip


How to Remove a Trip

  1. Open the booking you want to update

  2. Click Manage Booking

  3. Click Edit (top-right corner)

  4. Go to the Itinerary Builder

  5. Find the Trip you want to remove

  6. Click the X button on that Trip

The Trip will be removed from the booking.


What Trips Control

Trips don’t just organize your itinerary—they also control how the system behaves.

Brindlechute uses Trips to:

  • Send pre-trip reminders

  • Send post-trip emails

  • Display clear itineraries to clients

Each Trip runs on its own timeline.


What You Can Customize Inside a Trip

Within each Trip, you can:

  • Add arrival and departure days

  • Show lodging nights for multi-day trips

  • Add experiences and add-ons

Example:
If you add a gratuity or extra service to one Trip, it only applies to that specific Trip—not the entire booking.


Calendar View

  • Multi-day Trips are grouped together for clarity

  • Individual guide assignments still appear on their specific dates

  • Single-day trips remain simple and easy to view


Invoicing Rules

Trips do not change invoicing.

  • One booking = one invoice

  • Multiple Trips can share the same invoice

If you need separate invoices, create separate bookings instead.


Best Practices

  • Use one Trip per visit

  • Add new Trips for separate dates or seasons

  • Decide early if Trips should be:

    • Combined into one invoice, or

    • Split into multiple bookings


Using Trips correctly helps you stay organized while giving your clients a clear, professional itinerary. When in doubt, keep each visit as its own Trip—it makes scheduling, communication, and client experience much smoother.
