Sometimes a client may ask to start their trip at a different time after the booking has already been created. You can easily edit the timeslots directly from the Trip Detail screen.
This update can also be done for multi-day trips, allowing you to set a different start time for each day if needed.
Change the Start Time on a Confirmed Booking
From the Trip Calendar, click the trip, then click View Trip Detail from the pop-up. Or from the Bookings tab, open the booking, scroll to the Itinerary builder section, and click View trip on the Trip card.
Scroll down to Manage Trip by Day and locate Time & Duration in the Guides section.
Click the Time & Duration field and select the new start time from the available options (for example, change it from 8:00 AM to 9:00 AM).
Click Save in the Edit Time & Duration for Trip window.
Once saved, the updated time will immediately appear on your Trip Calendar.
Set the Same Start Time for Every Guide at Once (Batch Assignment)
If a trip has multiple guides (or spans multiple days), you can set one meeting time — the trip's start time — for the whole group in a single step instead of editing each guide's Time & Duration field individually.
Note that the Apply to all option only appears inside Batch assignment. You won't see it when you click an individual guide's Time & Duration field directly.
From the Trip Calendar, click the trip, then click View Trip Detail from the pop-up. Or from the Bookings tab, open the booking, scroll to the Itinerary builder section, and click View trip on the Trip card.
Scroll down to Manage Trip by Day and click Batch assignment at the top.
In the Confirm assignment window, open the Time & duration field for any guide.
Set the start time and duration.
Click Apply to all to apply the same time to every guide on every day of the trip — or click Apply to update only that one guide.
Click Save.
Batch assignment asking you to remove an unassigned guide slot? This happens when a trip has more guide slots than it needs — for example, the client booked three boats and later dropped to two, leaving one slot empty. Batch assignment can't run until the surplus unit is removed. Open the booking from the Trip Calendar (click the client name on the trip date) or from the Bookings tab, click Edit, expand Per-unit details, click the X on the unit that's no longer needed, and Save. Clearing that unit's guide won't resolve it — the unit stays active until the row is removed. See Understanding Per-Unit Details When Creating or Editing a Booking. Run Batch assignment again and it will work normally.
You can also rebalance client counts or reassign guides for the trip's units from the same booking — click Edit Booking and expand Per-unit details. See Understanding Per-Unit Details When Creating or Editing a Booking.
What if the booking is still in Draft?
If the booking is still in Draft status, the start time cannot be changed from the same process as a confirmed booking.
Steps to Change the Time on a Draft Booking
Go to Bookings, then select Draft.
Find the booking you want to edit and click it.
Click Edit in the top-right corner.
In the Itinerary Builder, click the trip date to open the Edit Dates window and set the date.
Click Per-unit details below the experience line to expand the unit breakdown, then click that unit's Time & duration field.
Select the new start time and duration, then click Apply to update just that unit, or Apply to all to apply the same time to every unit on the trip.
Click Save, then Confirm to update the booking.
See Understanding Per-Unit Details When Creating or Editing a Booking for the rest of what's in that table.
Updating trip start times is quick and flexible, making it easy to adjust schedules if a client requests a change. Any updates you save will automatically reflect in your trip details and calendar so your team always sees the correct schedule.
