Pre-Confirmation Tasks allow you to collect key information from clients before they pay their invoice or complete checkout. These tasks are required before payment and appear both on the client invoice when sent by outfitters directly and in the online booking portal.
Pre-confirmation questionnaires work at two levels:
System-wide level — applies to all bookings across every experience.
Experience level — applies only to bookings that include that specific experience.
When both are configured, they are automatically combined into one task for the client to complete before paying.
Create Your Questionnaires
Before enabling pre-confirmation tasks, make sure the questionnaires you want clients to answer already exist.
Go to Product Settings.
Select Questionnaires.
Click Add Questionnaire.
Add the questions you want clients to answer.
Save your questionnaire.
You can create multiple questionnaires and assign them separately as Trip Questions or Waivers.
Enable Pre-Confirmation Tasks at the System-wide Level
This applies to all bookings, regardless of which experience is booked.
Click your outfitter name in the top left and select Settings.
Go to the Client Settings tab.
Scroll to the Client Invoice Settings section.
Toggle Show pre-confirmation task? to ON.
Under Pre-confirmation questionnaires required for all bookings, you'll see two fields:
Trip questions — Select questionnaires that ask about the trip (experience level, gear, preferences, etc.)
Waivers — Select questionnaires that contain health disclosures or liability acknowledgments.
Click Update to save.
Add Pre-Confirmation Questionnaires to a Specific Experience
If you want to require additional questionnaires for a specific experience on top of the org-level ones:
Go to Experiences under the Products tab.
Select the experience you want to configure.
Scroll down to the Pre-confirmation questionnaires section.
Under Trip questions, select the questionnaire(s) specific to this experience.
Under Waivers, select the waiver(s) specific to this experience.
Click Save & Next at the top of the page, then Update Experience to save.
How Questionnaires Are Combined
When a client books an experience that has its own pre-confirmation questionnaires set up, those will be merged with the org-level questionnaires into a single task. The client sees one combined form — all trip questions together and all waivers together — before they can proceed with payment.
💡 Tip: Use org-level questionnaires for things every client needs to complete. Use experience-level questionnaires for trip-specific questions that only apply to that experience.
What the Client Sees
Once enabled, clients will be required to complete the questionnaires before they can proceed with payment. This appears in two places:
Invoice View — When a client opens their invoice, the questionnaire will appear as a required step before payment.
Online Booking Portal — If the client is booking through your website, they will be prompted to complete the questionnaire during checkout.
Important to Know
Trip questions and waivers are kept separate so clients can clearly distinguish between trip-related questions and waiver acknowledgments.
Questionnaires must be created first under Product Settings → Questionnaires before they appear in the selection list.
Experience-level and org-level questionnaires are automatically combined — clients complete them in one single task.
