How to Create a Custom Payment Plan

Build a payment schedule that fits the booking — choose who pays, how, when, and how much for each payment.

What is a Custom Payment Plan?

A custom payment plan lets you build a payment schedule that fits the booking instead of using a standard structure. When collecting payment on a booking, you can choose Custom payment plan alongside the other options — Pay deposit and schedule remaining balance, Pay deposit only, Pay in full, and Partial payment — and define each payment yourself: who pays, how, when, and how much.


How to Create a Custom Payment Plan

  1. Open the booking and click Collect payment.

  2. Under Payment plan, select Custom payment plan. You'll see the booking subtotal with a breakdown bar showing how much of the deposit and balance is planned so far.

  3. Click + Add payment to add each payment to the plan.

  4. Once your payments are set, review the plan and click Confirm.


Adding a Payment

Each time you click + Add payment, you'll set up one payment in the plan:

  • Select a client to charge — choose which client on the booking this payment belongs to. Different payments in the same plan can be charged to different clients.

  • Select payment method — Card, ACH Debit, Pay Partially, or Cash.

  • Select card — for card payments, pick a saved card on file or click + Add card to add a new one.

  • When to charge — choose Charge today to collect the payment immediately, or Schedule date to set a future date.

  • Amount — enter the amount for this payment. Below the field, you'll see how much of the subtotal is still not planned.

  • Description — add optional internal notes on the payment.

Click Save to add the payment to the plan, and repeat for each additional payment.


Reviewing Your Plan

As you add payments, the plan view keeps a running picture of the schedule:

  • The breakdown bar shows how the deposit and balance are covered, split between Charge today and Upcoming amounts.

  • Payments are grouped under Charge today and Upcoming, each showing the date, client, payment method, plan amount, and the total charge including fees.

  • Use the edit and delete icons on any payment to adjust the plan before confirming.

  • The Payment amount summary shows the amount, fees, and total to be charged for the payment being collected today.

Keep an eye on the unplanned balance. Any portion of the balance that isn't part of the payment plan won't be charged automatically — you'll need to collect it separately. The plan view warns you when part of the balance is left unplanned.


Reviewing Payments in the Audit Trail

Once the plan is saved, every payment appears on the booking's Audit trail tab under the Payments filter. Here you can review the full schedule:

  • The summary bar shows how much has been Executed and how much is Scheduled across the deposit and balance.

  • Each payment is listed by date with the client, payment method, amount, status (Executed or Scheduled), and time.

If anything looks wrong, click Cancel on a scheduled payment to stop it before it runs, or View detail to review the payment. For the rest of what the audit trail records, see Understanding the Booking Audit Trail.
