Video Transcript: How to Set Up Agent Billings

BrokerSumo allows you to send recurring or one-time bills to your agents. This article covers how to set up each billing type and track payments in the billing log.

Getting Started

To set up agent billing, navigate to an agent's profile record and click Agent Billing. From here you'll see all available billing options:

  • Monthly

  • One-Time

  • Quarterly

  • Biannual

  • Annual

Monthly Billing

To set up monthly billing:

  1. Click into the Monthly Billing section.

  2. Select a day of the month as your billing date.

  3. Add the item or items you wish to bill for.

  4. Click Save.

One-Time Invoice

To send a one-time bill (for example, if you advanced an agent money for marketing expenses):

  1. Click into the One-Time Invoice section.

  2. Enter the item and amount.

  3. Click Save.

After saving, you'll have three options:

  • Charge agent's card β€” available if the agent has a credit card on file.

  • Email the invoice β€” sends the invoice directly to the agent.

  • Log the invoice β€” records it in the billing log without sending.

Quarterly Billing

To set up quarterly billing:

  1. Click into the Quarterly Billing section.

  2. Select the first date you'd like billing to begin.

  3. The system will automatically display each upcoming quarterly billing date. Confirm these dates are correct.

  4. Click Add New Item and add your quarterly item or items.

  5. Click Save.

Biannual Billing

To set up biannual billing:

  1. Click into the Biannual Billing section.

  2. Select the date you'd like to start billing.

  3. The system will display your two scheduled billing dates. Confirm these are correct.

  4. Add your items and click Save.

Annual Billing

To set up annual billing:

  1. Click into the Annual Billing section.

  2. Select your annual billing date.

  3. The system will automatically bill on that date every year.

  4. Add your items and click Save.

Billing Log

To review all billing activity, click the Billing Log tab at the top of the Agent Billing page. From the billing log you can:

  • View all items billed and the date they were billed.

  • See whether each item is paid or unpaid.

  • Mark items as paid.

  • Add memo notes to a billing entry.

  • Sync billing items to QuickBooks.
