Connect your work calendar and use AI to record and summarize your calls

Connecting Notetaker to your work calendar gives you the freedom to relax and be present in meetings, as the full transcript and action items are recorded for you. When the call is over, catch up - or follow up - in Bubbles, using video, screen, or text; and avoid that follow-up meeting!

Connecting your calendar

  1. Log into your Bubbles account, then click on Notetaker in the left-side navigation:

  2. Next, click the Connect a calendar button:

  3. Proceed through the authentication flow and allow the necessary permissions

    Note that you do not need to connect the same calendar as the account you're logged into Bubbles with. We do recommend connecting a calendar that has upcoming meetings on it - likely the one you use at work.

  4. Once authenticated, you can configure Notetaker to join the meetings you want it to join, and share the recordings with meeting participants or keep them private. Click the Settings button at the top of the Notetaker view to access them any time:

Record a single meeting manually without connecting a calendar

If you want to check out Bubbles Notetaker but aren't ready to connect your work calendar, give it a try with our "Paste a link" feature. At the top of the Notetaker view you'll find this text field:

Click the text field and paste the join link for the meeting you'd like to record. Within 20 seconds or so, you'll see the Notetaker bot join. After the meeting, it will be saved in your Notetaker view.

Common Questions

  • What happens after the bot joins a meeting?

    • After joining the meeting, the bot will send a courteous direct message to each participant. It will inform them that it is present to record and transcribe the call and provide a link to remove the bot if desired.

  • Which meetings will the Notetaker join?

    • The Notetaker will join all calendar invites that include at least 2 participants, including the organizer, and have the necessary meeting details for any guest to participate (e.g., a link to Google Meet, Zoom, or MS Teams meetings).

    • If your workspace is on our Teams Pro plan, you have added options for which meetings to record, and who to share them with:

  • When will the bot join the meeting?

    • The bot will enter the meeting 2-3 minutes before the scheduled start time.

    • It will wait for 20 minutes for at least one participant to join before beginning to record.

    • If no one joins within 20 minutes, the bot will leave.

  • Do all participants need to be present for the call?

    • Nope. While the invite must list 2 or more participants, they are not required to actually join the call.

  • What if Notetaker delivers an inaccurate summary or action items?

    • Want to edit the action items from a meeting? No problem! As a call participant, you have Admin rights on the recording bubble, allowing you to edit the title and action items:

After the meeting

When the meeting concludes, you will receive an email with AI summary and action items, starting with those assigned to you. By default, everyone with access to the recording has the ability to view, comment on, and even delete the recording if they wish:

Action items can be edited and removed. Just click on the ••• menu that appears when you hover on them, then select the Edit or Delete options, or just click the checkmark icon to move them into a Resolved tab.

Removing the Bubbles Notetaker bot from a meeting

We understand some calls include sensitive subject matter or otherwise may not be good to preserve as a recording and transcript. At any time, any member of the meeting can remove the bot from the call by clicking the link in the direct message they receive from the bot.

Clicking the removal link will open a web page offering the choice to delete the recording of the call (default), or save what's been recorded already::

Turning Notetaker off

If you don't want the Notetaker to automatically join upcoming meetings, you can simply toggle the auto-record setting off in the Notetaker settings.

With the settings menu open, simply click the toggle to turn it off:

Removing the Bubbles Notetaker bot from your account

At any time, you can disconnect the Bubbles Notetaker bot from your account, which will prevent it from joining future calls on your behalf.

To disconnect your calendar, access the Notetaker Settings by clicking the Settings button shown above, then click the X next to your connected calendar. It will then display as "Marked for deletion". Click Save, and your calendar is now disconnected.
