Overview of Manager Capabilities

The Manager role is intended for users who need to be able to track their own time, while also needing permissions to review other Employees' time tracking.

With the Manager role, you can configure which Employees the user has access to, and whether they're allowed to make changes or only view the Employees' timecard and time off requests. The Manager role also ensures that the user doesn't have permissions to make any changes to account-level settings or Employee profiles.

Overview of Administrator Capabilities

An Administrator has all the same permissions as a Manager, and then some. An administrator has permissions to view and edit time entries and time off requests for all Employees and Managers in the account.

In addition, they're also able to make account-level settings changes, update Employee profiles, and configure which features are available for use on the account.

Important! Administrators are free accounts, and because of that, they are not able to track their own time or time off.

FAQ

Q: Why can't an Administrator track time and/or time off?

A: Administrators in Buddy Punch are free accounts and don't count toward Billing. As a result, they can't punch in/out or track time off. To track their own time, administrators need a separate employee account with a unique username, though the same email can be used.

Q: Can Managers run Reports?

A: Yes, Managers can run Reports for their assigned Employees that they have at least 'View' Time Permissions on and their own data.

Q: Can Managers access and/or update Billing information?

A: No, Managers are unable to access Account Settings and therefore are unable to update Billing or plan information.

Q: Can Managers add, deactivate, delete, and/or reactivate Employees on the account?

A: No, because the total user count directly impacts Billing, only Administrators can manage Employees by adding, deactivating, deleting, or reactivating them.

Q: Can Managers update or add Job Codes (Departments, Locations, Positions)?

A: No, as Job Codes are considered an account-wide setting, only Administrators can make changes to existing Job Codes or add new ones.

Q: Can Managers view Pay Rates?

A: By default, Managers cannot view Pay Rates even for those they're assigned. If you'd like for Managers to view Pay Rates for Employees they have Time 'Approval' permissions for, this can be enabled by going to Settings --> Pay Rates.

Q: Is there a "View-Only" Administrator role?

A: No, at this time all/any Active Administrators on the account have full account access and capabilities.
