MyInvois Ready Step 3: Update Your Contacts

Introduction

In this article, we'll walk you through preparing your contact list in Bukku for MyInvois purpose. Discover new features and functions designed to simplify the process of making your contacts as MyInvois Ready.

Let's dive into how these tools can assist you!


Filtering MyInvois Ready Contacts

  • You can find the contacts that are not MyInvois Ready and update their profiles.

  • Click on 'More Filters' to expand the advanced filter.

  • Use 'Yes' or 'No' to sort your contacts based on their MyInvois Ready status.

Getting Your Contact as MyInvois Ready

Key Fields Required by MyInvois

  • Let see what are information required for MyInvois for your contacts.

  • The fields with a green checkmark icon indicate that the information is ready for MyInvois.

Legal Name

The contact's legal name registered with the local authorities.

Registration No. Type & Registration No.

The registration number or identification number of the contact depends on the type of entity, whether it is a company or an individual.

Use the latest registration number here if you are given multiple numbers like new and old numbers for company.

TIN

The contact's tax identification number (Malaysia only).

Contact No.

The contact's phone number.

Default Billing Address

A Default Billing Address is required for MyInvois. Fill in the following required information:

  • Street Address

  • City

  • State

  • Country

  • Postcode *(Not required for MyInvois, but recommended to fill in)

After filling in the required information, and check 'Default Billing'.

  • Some examples for reference:

    • Example A: Customer is a Malaysian Company.

      • Entity Type: Company

      • Legal Name : Alphabet Sdn Bhd

      • Registration Type & No. : BRN 202301010101

      • TIN Number : C12312312345

    • Example B: Customer is a Malaysian Individual.

      • Entity Type: Individual

      • Legal Name : Andrew Tan

      • Registration Type & No. : NRIC 900128105101

      • TIN Number : IG56003500070


Understanding Entity Type

  • There is new field called 'Entity Type' under section of Basic Information in your contact details, select the correct entity type accordingly.

Walk-in or cash sales without customer details, for consolidated e-invoice purpose.

When Are TIN & Registration No. Not Required?

  • The TIN and registration numbers are not mandatory for certain types of contacts.

  • Based on the selected entity type, the system will auto-fill these numbers automatically during MyInvois submission (Malaysia only).

TIN & Registration No. Requirement

Company

Both TIN and Registration Type & No. are required.

Individual

Provide either TIN, NRIC Number, or both.

General Public / Exempted Person / Foreign Company

Select ‘None’ under Registration No. Type. The Registration No. and TIN fields will auto show a green checkmark.

You may still choose another registration type and enter a registration number if available, but it’s optional.

Foreign Individual

Use Passport as Registration No. Type (for those without MyPR/MyKAS) and provide passport number.


TIN Search and Verification

  • You can look up a contact’s TIN as long as a valid Registration Type and Registration Number are entered.

  • This feature is integrated with the LHDN portal, allowing live and seamless TIN verification.


  • Once all required information is filled in correctly, a green checkmark icon will appear on the contact profile, indicating that your contact is now MyInvois Ready.

  • In the contact listing, the indicator beside the contact’s name will also switch from a yellow alert icon to a green checkmark icon.

Batch Update Contacts

  • A new feature is implemented that allow you effortlessly batch update your contacts all at once, saving you the hassle of updating them one by one.

  • Navigate to Contacts > Click on the (...) besides +New > Batch Update.

  • You will see a table where you can update all of your existing contacts.

  • When any amendment or update is made to a field, the field will be highlighted in green.

  • After making your updates, click the Save button in the bottom right corner.

Request Data for MyInvois Purpose

  • Alternatively, you can request your contacts to provide the necessary information for MyInvois purpose directly through email or by sharing a generated link using Bukku. Follow the steps below:

  • Step 1:

    Navigate to your contact, click on the (...) icon, and select "Request Data (MyInvois)".

  • Step 2:

    Enter or confirm the contact’s email address in the Email To field, then click Send. Alternatively, click the copy icon to get a shareable link, which you can send via WhatsApp, email, or any platform you prefer.

  • Step 3:

    Your contact will receive the request from you in their mailbox, if you send the request via email. When your contact opens the email, it will display as follows.

  • Step 4:

    Your contact should click the "Update Tax Information" button in the email. This opens a page for them to fill in the required information. The same applies if they access the form via the shared link.

  • Step 5:

    After completing all required details and clicking Submit, your contact will be asked to provide their Name and Email Address, and then click Request OTP.
    They must enter the One-Time Password (OTP) sent to their email to verify the submission.

  • Step 6:

    Once verified and submitted, a pop-up message will confirm that their information has been successfully sent.

  • Step 7:

    The submitted information for the contact will be automatically updated in your Bukku account.

  • Step 8:

    To review who updated the contact and when, click the History button. The update details will appear in the contact’s audit log.


  • You also have the option to send the bulk email requesting MyInvois information to all your contacts, prompting them to complete their details.
