How to create a Price List

This article will provide step-by-step instructions on how to create a Price List within Bureau Works.


  • On the Bureau Works lateral menu, click on Settings > Account Settings > Business:


  • Click on Add Prices


  • Fill in all the necessary information and then, click on the 💾 Save Button

1. Name: The Price List's name, which can be modified as needed.
2. Currency: The currency you wish to utilize for the Price List.
3. Default price per word: The predetermined price to be applied when no specific language pair is configured.
4. Minimum Fee by Project / Minimum Fee by Language Pair: Defines how the minimum fee is applied. When Minimum Fee by Project is selected, the value set in Default minimum fee by project will be used as the minimum fee whenever the total project value is lower than this amount. When Minimum Fee by Language Pair is selected, the value set in Default minimum fee by language pair will be applied to each language pair in the pricelist that does not have an individual minimum fee defined.
5. Organization: The Organization with which you want to link the Price List. You can select only one.
6. Organizational Units: The Organizational Units you intend to associate with the Price List. Multiple selections are possible, but they must have the chosen Organization as their parent.


  • To set up particular language pairs, click on "Prices per language pair" and include the source and target languages along with their corresponding values and then click on the blue button to add the item to your Price List.

When the pricelist is set to Minimum Fee by Language Pair, after configuring a language pair, the Minimum Fee field will be displayed, allowing you to define a minimum fee specifically for that language pair.


  • Minimum fee

As mentioned earlier, the minimum fee of a pricelist can be configured as Minimum Fee by Project or Minimum Fee by Language Pair. Below, we explain the differences between these options and how each one is applied and reflected in projects, under the Costs tab.

Minimum Fee by Project

When Minimum Fee by Project is selected, you can define a value that will be applied as the minimum fee whenever the total project value is lower than this amount.

In the example below, the total calculated project value is BRL 43.00. Since this amount is lower than the minimum fee configured in the pricelist (BRL 10,000.00), the system automatically applies this value as the project’s minimum fee.

Minimum Fee by Language Pair

Minimum Fee by Language Pair works differently. In this configuration, each language pair can have its own minimum fee.
If a language pair does not reach its defined minimum fee, that minimum fee is applied instead of the calculated value.

In the example below, the language pair en_us → es_419 does not reach the minimum fee defined in the pricelist, so the minimum fee of USD 900.00 is applied.
The language pair en_us → zh_cn uses the default minimum fee by language pair from the pricelist, since it does not have an individual minimum fee defined.

The total project value is calculated by summing the values of each language pair:

  • en_us → de_de: USD 744.70

  • en_us → es_419: USD 900.00 (Minimum Fee)

  • en_us → ja_jp: USD 1,191.52

  • en_us → pt_br: USD 1,117.05

  • en_us → zh_cn: USD 2,000.00 (Minimum Fee)

Resulting in a total project value of USD 5,953.27.


  • Click on Price Coefficient and insert the additional factors, such as Rush Fee, Discounts and more.

When creating an item for discounts, we suggest inputting a negative number, such as -5, which will lead to a 5% discount being applied to the subtotal value of your project. Additionally, you have the option to modify the price coefficient when applying the item to the project's expenses.

On the main project page, you can see how a Price coefficient can be applied if it’s not enabled by default, and how the interface displays its impact on the total project cost. Simply go to the Costs tab > Other Costs > Add Items.

The Price Coefficient list has the following structure:

1. Default: you can choose whether a coefficient should be enabled by default;

2. Sequence: you can change the item’s position in the list;
3. Description: selected option for the item;
4. Unity: It can be per word or hour, for example;
5. Price Coefficient: assigned value to the price coefficient;

6. Simulation: there is a “Simulation” section, which shows exactly how the selected price coefficient will impact the price per word.

For example: In the image below, we have factors of $0,20 and $0,10 (1%) for each matched term between 0% and 49% match with the Translation Memory. In this case, the final value will correspond to 1% of the default value.

Note for Translation matches only: The prices and factors from the Price List are integrated with the information from the Logfile, allowing Bureau Works to automatically compute project costs.


  • On the Associations Tab, it is possible to manage the links between the Price List and Organizations and Organizational Units. You can add or delete any organizational structure.


  • In Notes Tab, you can insert important comments about the Price List, such as SOW and agreements information.
