Tracking Collected Tips

Learn where collected tips are listed. See how much each team member has made in tips, as well as the totals across all users.

Written by Lauren Taylor

As you begin collecting tips from your clients, it's important to be able to track tip amounts and see the team members to whom tips are owed. Whether tips are passed directly to booking providers or you choose to divide them evenly across your team, the reporting options in BusyPaws allow you to easily determine how much each team member is due in tips. In this guide we will take a look at how to view all the tips collected through your business' BusyPaws account.

For more information on the settings used to begin collecting tips, check out our Enabling Tips help guide. To see what the tipping process looks like for your customers, check out our guide on How Clients Add Tips.

Tips are part of the online payment process and are therefore set up to be used with Stripe payments. If you've not yet added Stripe to your account, check out our help guide on Stripe Payments.

Tip Report

The easiest place to see the tips your team has collected is on the Tip Report page of your account. To get there, click or hover your mouse over the "Reports" icon in the left-hand menu bar of any page in BusyPaws.

Then select "Tips" from the menu.

That will take you to your Tip Report page. This page displays all of the tips collected by your team. Each user's tips are listed on a separate line, broken down by the date on which the tip was paid.

Totals for each user can be found in the left-most column on each line.

Totals for each day are found in the bottom-most row.

Any tips made on invoices/bookings not associated with a particular provider will be listed under "Unassigned".

Use the date options at the top of the page to adjust the displayed week. Click the pink forward/back arrows to navigate one week at a time or select the listed date range to open a calendar that may be used to choose a specific date.

Use the "Today" button to easily return to the current date range after navigating to a date in the future/past.

Select the tip value on a specific date to see the invoices contributing to that amount.

This opens a list of invoices with tips on that date. The page includes the payment date at the top followed by the associated invoices. Each invoice is listed with the name of the user to which the tip was paid (i.e. the provider on the booking), the invoice number, and the tip amount. Click any invoice number to open its information page.

Exporting Tip Data

Depending on how your business manages tips, you may wish to download a CSV file with tip information for use outside of your BusyPaws account. This can be done from your Tip Report page or your Data Exports page.

From the Tip Report Page

Exports started from the Tip Report page will always export only the displayed week. To set a custom date range for the export, use the process described in the next section for the Data Exports page.

To export tip data from your Tip Report page, start by navigating to the week you wish to export. Date ranges on this page always display Monday to Friday.

When you're ready, click the "Actions" button at the top of the page and select "Export (CSV)" from the resulting drop-down.

You will then be redirected to the Data Exports page. Once your export has finished you will be able to download the CSV file.

You will need to either refresh the page or navigate away and back again to see the updated status once the export has finished. Depending on the amount of data included, it can take up to 10 minutes for exports to complete.

From the Data Exports page

If you wish to export a custom date range, you will need to trigger the export directly from your Data Exports page. First, click or hover your mouse over the Reports icon in the left-hand menu bar and choose "Data Export" from the menu.

Click the "Actions" button at the top of your Data Exports page then select "New Export".

In the resulting pop-up, set the "Export Type" field to "Tips" and use the "To"/"From" fields to select the desired date range. When you're ready, click the "Export" button.

You will then be redirected back to the Data Exports page. Once your export has finished you will be able to download the CSV file.

You will need to either refresh the page or navigate away and back again to see the updated status once the export has finished. Depending on the amount of data included, it can take up to 10 minutes for exports to complete.

Tips on Invoices

All paid tips are displayed clearly on their associated invoice. The tip amount is listed just beneath the invoice total at the bottom of the invoice.

Tip amounts are also listed in their own column on your main Invoices list. The Tip column can be found between the invoice Total and invoice Status. Any invoice without a tip will be listed with a "-" instead of a numerical value.

Keep in mind that tip collection and tracking is available for Stripe payments only. If you have not yet connected Stripe to your account, see our guide on Stripe Payments for more details on that process.
