What is a persona?
A persona personalizes AI Assistant responses for different user types, such as prospective families and current families. Unique prompts within each persona guide the tone and context for how the AI Assistant interacts with that persona.
The same AI Assistant question may yield different answers depending on the persona (e.g. a response about housing varies between current and prospective families).
Can I enable the AI Assistant for one population if my platform supports multiple populations?
Yes! The AI Assistant is enabled on the persona level, which means that you can turn it on for one persona only (e.g. Prospective Families or Current Families) if you prefer.
Should I be concerned about the AI Assistant sharing FERPA-protected data?
No, the AI Assistant will not access or pull any information from FERPA-protected areas of the platform. It will only train on institution-specific resources and will not provide any student-specific information.
What is included in the AI Assistant setup?
CampusESP handles the setup end-to-end, including configuring the AI prompt and turning on content to promote the AI Assistant. CampusESP’s default instructions and prompts are specially tailored for families of prospective and current students. The AI Assistant comes fully pre-trained on your portal content, websites and metadata — meaning it’s ready to deliver helpful answers from day one!

How is the AI Assistant trained?
The AI Assistant is pre-trained on your institution. Its responses are based on existing portal content and other institution-provided sources.
Various content sources, such as events, emails, and posts, are automatically indexed and managed by CampusESP. All sources added by CampusESP are noted with a checkmark on the Training page.
You can build upon your existing Knowledge Base by adding additional training sources and custom instructions.
How much time should I spend testing my AI Assistant?
Testing is optional, since the AI Assistant comes fully pre-trained and ready to deliver helpful answers from day one! CampusESP’s AI Assistant is very accurate and has been stress tested by many team members and customers. Many customers have successfully launched their AI Assistant to families with no additional testing.
If you prefer spending time to refine your AI Assistant’s responses, we recommend ~2 weeks of testing, refining and learning — but again, this is not required. You can always make adjustments at any time!
What should I do if my AI Assistant is inaccurate?
All AI makes mistakes – even Claude, ChatGPT, and Gemini – but is improving constantly. Accuracy improves with training: The more training sources and custom instructions added, the stronger the responses will be. 💡 Pro Tip: All sources used in each response are cited. Reference these sources to identify any outdated sources for your institution to update. For example, the AI Assistant may highlight outdated information that is still on your website.

How can I edit the emails that promote the AI Assistant?
You can view the emails by navigating to your Emails page. Once your AI Assistant is set up, the promotional emails will be visible on the Scheduled and Recurring tabs. You can click on the email name and pencil icon to make any edits.
What data and results on the AI Assistant are available?
There are many analytics that can be surfaced from your Performance Dashboard, including:
AI Assistant interactions over time
Unique AI Assistant users over time
Average AI Assistant satisfaction score
Top 5-10 topics (coming soon!)
We encourage you to leverage this data to identify any gaps in your AI Assistant’s training sources and add custom instructions as needed.
I want to purchase the AI Assistant. What are my next steps?
We built a workflow in the platform to automate quoting and invoicing for the AI Assistant. If you’re authorized to make the purchase, simply follow the steps below. If you require a different process for payment, please reach out to your Account Manager directly for next steps.
1. Navigate to the Customize Personas page on the admin side of the platform and click the "Add to Quote" button next to the desired AI Assistants.
2. Click the green, "Request Quote" button.
3. Once you receive a quote from CampusESP Accounting, click "Review Quote."
4. Within the quote, you will be asked to verify your identity. This is a security measure to ensure the contact requesting the quote is the signer. Click "Verify to sign" and you will receive a separate email to sign the quote.
5. After signing the quote, you should receive a Quickbooks invoice!
