How to Accept Appointment Requests if CareCru Does Not Automatically Create Appointments

If CareCru does not automatically create appointments in your Practice Management Software this article is for you.

If CareCru does not automatically create appointments in your Practice Management Software then you must follow steps 1 - 4 below for every online appointment request. If you are unsure, ask us via the messenger icon at the bottom right of your window.

Step By Step Guide

  1. Create the appointment in your Practice Management Software (PMS) with all the details as requested.
    NOTE - if the requested time is no longer available/ feasible contact the patient and create an appointment with a new date/ time.

  2. In CareCru, go to Schedule and select an appointment from the Online Request section and click Accept.

    1. If the system finds an exact patient and appointment match, the appointment will automatically be linked to that appointment and patient.

    2. If the system finds a partial patient and/or appointment match, a pop-up will appear titled Could this be the same appointment?
      From here, review the date and time of the suggested appointment and either Link Appointment or click No, appointment match, create new, if it's not the same appointment/ patient.

    3. If the system cannot find any matching patient and/or appointment, a box will appear notifying you that no match has been found. Enter the appointment information into your PMS and then click Try Again to re-attempt to link the appointment to your PMS. Otherwise, you can click No, I'll do this later and return to the appointment card after you have time to enter the appointment into your PMS.

3. A browser notification will appear at the top of you're window confirming that you

want to correct the appointment, Click OK.

4. CareCru will ask if you want to send a confirmation email. We recommend clicking

Yes unless the patient has explicitly asked not to receive an email.

💡The patient will always receive an email with the date and time of the scheduled appointment if it is different from the date/ time of the online appointment request. Therefore, CareCru recommends that you accept 9/10 appointment requests to avoid losing out on patients that have already taken the time to request an appointment.
