Managing users correctly helps ensure your team has the appropriate access while keeping administrative controls secure.


User roles in Carpay

Carpay supports two user roles:

  • Admin

  • Regular

You can add an unlimited number of users to your Carpay account.

Admin users

Admin users have full administrative access.

Admins can:

  • Access the Administration section

  • Add, edit, and delete users

  • Assign user roles and permissions

  • Manage location access

  • Change company-level settings

At least one Admin user is required on every Carpay account.

Regular users

Regular users are intended for day-to-day operational tasks.

By default, Regular users:

  • Can log in and process payments

  • Cannot access the Administration section

  • Cannot add or remove users

  • Cannot change company settings

Admins can grant additional permissions to Regular users as needed.


Optional permissions for Regular users

Admins can selectively enable the following permissions for Regular users:

These permissions allow access to specific features without granting full Admin rights.


Adding a New User

To add a user:

  1. Log in to your Carpay dealer site in a web browser.

  2. Click on the Person Icon in the top-right of your screen.

  3. Select Admin.

  4. Select Add New User.

  5. Enter the new user’s:

    1. First name

    2. Last name

    3. Email address

  6. Select a User Type (Admin or Regular).

  7. Assign location access, if applicable.

  8. Select any optional permissions.

  9. Select Submit.

The new user will receive an email invitation with instructions to set their password and log in.


Editing or removing users

Admins can manage existing users from the Users table.

From this page, Admins can:

  • Edit user details, role, or permissions

  • Adjust location access

  • Remove users from a single location or all locations

  • Disable access for users who no longer need Carpay access

Regularly reviewing this list helps maintain account security.


Best practices

To keep your dealership secure:

  • Limit Admin access to trusted staff

  • Use Regular users with optional permissions for most roles

  • Remove users who no longer work at the dealership

  • Review permissions and location access periodically

  • Avoid sharing login credentials between employees
