Customising the categories and tags

Before you search your clients’ transactions it’s best to make sure their Categories and Tags in the accounts are useful to you. Although they may have personalised them, you can still add an extra tag to suit your needs. Check out more if you're unsure.

Setting up searches

Once your clients’ shared accounts have been organised with Categories and Tags, you can use our Search function at the top of the page to filter the transactions, save the searches and download them as a CSV file onto your desktop.

Just enter your criteria into the Search field—you have several options for searching, and any matching transactions will appear. You can add as many of the search options as you like. Once your transaction list holds the information you want, then save it.

Here's a quick run through the Search criteria options so you can choose what will work best for you:

Description

This will catch any transactions that have a certain word in their transaction description. For example, if you want to check on your client's tax bills, click on Description > ...Which contain... > and enter "tax"

All the transactions with a description containing "tax" across all that client's accounts will appear on the screen.

Categories

In the same way you can choose to do a search of Categories. You have the option to search In the Category for a more narrow search, or In any of the Categories to catch everything across all Categories.

Accounts

Will allow you to search in a particular account, or in more than one. Just enter the account or accounts you'd like the search to cover.

User

This will allow you to choose which client to search. It will allow you to specify the client without starting at the Clients page.

Amount

This option will allow you very specific choices for searching transaction amounts.

If you're looking for a type of transaction with the same figure, or all types of transactions within a particular range this is the one for you.

Date

Choose this option for a range of specific choices for using transaction dates.

If you're looking for a type of transaction with the same date, or all types of transactions within a particular date range this will help you.

Account groups

This option allow you to search in a particular Group, or in more than one. Just enter the Group or multiple Groups you'd like the search to catch.

Adding more than one criteria to a Search

You can add as many of these Search criteria as you like. The best idea is to add one at a time, have a look at the list it gives you, and when it shows just what you want, save it.

If your Search result isn’t providing the results you expect, make sure the criteria you’ve entered is correct, and not overly specific. Only fill in the fields you need.

Saving searches

Once you have created a useful search, you can save it to be used on any accounts in the future. All your Saved Searches will appear in your side menu.

Downloading searches

To download a search result to your desktop, simply press Download as CSV at the top of the list. Then you can open it in your word processing software.

You can also download account transaction lists this way.
