Closed vs. Archived projects

When a project is no longer active, you may wish to remove it from your project list by closing or archiving it. Both options hide the project from your project list and exclude it from any reporting dashboards, while allowing you to retrieve the project if need be.

Note: We currently do not support "deleting" a project due to the risks of deleting valuable data. However, if closing and archiving a project do not satisfy your requirements, message our team via the chat box and we can delete it for you.


Closing vs. Archiving a Project

Closed projects are for projects that are no longer active, but you still want to access easily. Archived projects are like projects that are put in the bin, that you can still retrieve if need be.

Similarities

  • Both are EXCLUDED from reporting dashboards (e.g Reports and Pipeline pages)

Differences

  • Where they are stored:

    • Closed projects can be found by clicking the blue "All projects" button in the Projects list, then on "Closed projects". This might be useful for projects that you still want to find easily, even if they're no longer active (e.g cancelled or paused projects).

    • Archived projects are more hidden, and generally for projects that you consider deleted (e.g accidentally created projects). You have to scroll to the bottom of the page, then click on "Archived projects". Think of it like accessing a bin.

  • Editing:

    • You can edit Closed projects, but not Archived projects. To edit an archived project, you have to restore it first.

How to close a project

  1. Click on the project you wish to close

  2. Click Actions ... in the top right hand corner

  3. Select Close. Your project is now closed which excludes it from any reporting dashboards

4. Access closed projects from the Project list by clicking on the blue All projects button, then on Closed projects

Your project is now removed from any reporting dashboards (e.g Pipeline, Reports), but can be easily accessed and edited via the Closed projects button outlined in Step 4.

How to archive a project

  1. Click on the project you wish to archive

  2. Click Actions ... in the top right hand corner

  3. Select Archive. Your project is now archived which excludes it from any reporting dashboards

4. Access archived projects from the Project list by scrolling to the bottom of the page, then clicking on Archived projects

5. To edit an archived project, you must restore it first. To do so, view the Archived projects page, then click on the three dots ... of the relevant project, then on Restore project. Your project can now be accessed from the Projects list
