Manage Records: How to Update One Row, Multiple Rows, or All Rows

ExtendInsights Data Management allows you to update or create NetSuite records directly from Excel. You can choose to upload one row, multiple rows, or all rows in your template.

This article explains how row selection works and how to safely control what gets sent to NetSuite.


How ExtendInsights Decides Between Update vs Create

ExtendInsights uses the Internal ID (Column B) to determine what action to take:

  • Internal ID is present → The existing NetSuite record is updated

  • Internal ID is empty → A new NetSuite record is created


⚠️ READ ME FIRST: Important Upload Rules

Select Consecutive Rows Only

When uploading selected rows:

  • Rows must be consecutive

  • There must be no empty rows or gaps

If a gap exists:

  • NetSuite will process rows only up to the first gap

  • Rows after the gap will be ignored 

Upload in Batches (Non-Consecutive Rows)

If your data is not consecutive:

  1. Select the first set of consecutive rows

  2. Upload the rows

  3. Confirm the upload was successful

  4. Select the next set of consecutive rows

  5. Repeat until all rows are processed

This ensures no records are skipped.


Update One Row at a Time

Use this when you want to update a single record.

  1. Click any cell within the row you want to update.

  2. Enable Records on selected rows only.

  3. Upload the records.

ExtendInsights updates the record associated with that row.


Update Multiple Rows at a Time

Use this when updating several records together.

  1. Highlight the cells across the rows you want to update.

  2. Ensure the rows are consecutive.

  3. Enable Records on selected rows only.

  4. Upload the records.

Only the selected rows are sent to NetSuite.


Update All Rows at Once

  1. Disable (uncheck) Records on selected rows only.

  2. Upload the records.

ExtendInsights sends all rows in the template to NetSuite.

⚠️ Warning:
Hidden rows are still uploaded. Hiding rows does not exclude them from processing.


Global Setting: Use Selected Rows Only

ExtendInsights includes a global setting to control row selection behavior by default.

  1. Go to Menu → Settings

  2. Toggle Use Selected Rows Only on or off

This setting applies across your workflows and can be changed at any time.

Choose Your Upload Method

ExtendInsights offers two upsert methods:

Real-Time Upload

  • Best for small datasets

  • Immediate feedback

Background Upload

  • Best for large datasets

  • Supports multiple concurrent uploads

  • Runs asynchronously
